The Vendor is required to provide continuing education (CE) tracking system for use by and accessible to licensees, board staff, and CE providers.
- Ownership rights to data
• Agree that any and all data provided to or collected by the vendor is owned exclusively by board, regardless of whether the data is publicly available.
• Data provided to or collected by it, regardless of whether the data is publicly available, will be used, sold, or shared by the vendor for any purpose other than the intended purpose of CE tracking for board.
• This prohibition includes any and all personally identifiable or private information provided to or collected by the vendor from board or its licensees.
- CE requirements
• The CE tracking system must allow board to manage and retrieve the following information:
o The CE hours required by license type and by individual (see attachment b for license types);
o Time period during which CE hours must have been successfully completed;
o Number of successfully completed hours;
o Category (e.g., preceptor, laws or rules, sterile compounding) of successfully completed CE hours; and
o Data collection, data retention, data management, and reporting on completed or missing continuing education hours for all licensees.
o Requirements are subject to change by board.
• The vendor must provide a test account for the purpose of training board staff on using the system.
- CE management
• A mechanism to update CE requirements for each license type.
• Board staff to access licensee specific CE requirements arising out of an administrative action by board.
• A mechanism for board staff to access deadline dates and a timeframe to complete CE requirements based on the expiration date for each license.
• A link to board staff that directs licensees to the vendor’s CE portal for the purpose of reviewing their CE hours or submitting the successful completion of CE hours.
- CE data collection
• Host all data and provide for the following:
o Uploading and downloading the data through board gateway.
o A web application programming interface (API) for the vendor to electronically access licensee data, including:
1. Individual licensee information
2. New license data
3. Modifications to existing licensee data
• For each CE course, the selected vendor will gather the following information from the licensee:
o Course provider
o Course title
o Date(s) of course
o Course category (e.g., preceptor, laws or rules, sterile compounding)
o Credits and hours earned
• Storage of electronic copies of completed CE certificates.
• The CE software will automatically calculate the sum of all CE’s and CE categories combined when entered by a licensee.
• The CE software will automatically calculate “overlapping” continuing education credits reported from the previous period.
• An accurate and comprehensive record of a licensees’ CE data to help them meet the requirements of their profession and demonstrate their competency to practice.
