The Vendor is required to provide automated system for a special education individualized education program (IEP) and Medicaid management.
- The IEP system will support the collection of data needed to optimize the delivery of special education services to all eligible students in the district.
- The IEP system must support the business processes of the district and be accessible at the district, school, and teacher levels.
- Business processes include:
• IEP processing
• Timelines for due dates for yearly IEPs, three (3) year re-evaluations, etc.
• Ability for related computer servers to take data on services delivered for Medicaid claiming for reimbursement
• Compliance reporting
- Automating the business processes, the successful vendor(s) will provide an IEP system that:
• Is 100% web-based and runs through an internet browser without requiring additional software on the client workstation
• Automatic notification of timeline events and due dates
• Live technical support during business hours via a toll-free number for all staff members
• Application hosting services provided by vendor
• Goals tied to curriculum standards
• Proven interface to the district’s student information system, which currently is infinite campus.
• Ability to replicate district specific special education forms – on-line entry and printed
- Functional requirements:
• Auto save feature for all areas of program
• Web based and able to use out of district network
• Digital signatures as part of the program cost for all signed forms for both staff and parents
• Forms are updated when USBE forms are updated, and districts notified
• Customizable employee access based on needed level of access (by role, location, district)
• Ability to transfer digital file between client districts
• IEP dates/eligibility/DOB/ other items self-populate across forms for current event or Medicaid billing
• System accesses USBE grade-based standards and essential elements goals and allows transfer to IEP’s
• Ability to create a caseload per staff member, school and with students able to be assigned to more than one caseload
• Ability to upload files (word, pdf, jpg/photo, excel) to any student records
• Ability to include and make changes to district forms such as FUBA,
• BIP, parent survey, Spanish forms, parent authorizations, etc.
• Ability to view related services caseload in one place and screen and easily enter services
• Able to enter group data for services rendered in Medicaid module
• Ability to monitor compliance and accuracy of IEP timelines and services through reports through notifications or other methods by staff and admin level users
• Spanish (and possible other language) translation capability
• IEP’s lock after district determined date to maintain integrity of historical file data
• System has integrated spell-checking and grammar checks for all modules
• The system allows administrators to graduate twelfth grade students and assign “exit codes” simultaneously, or transfer to post-high school programs.
• Graduating students are automatically inactivated.
• System auto inactivates students who Unen-roll from the school
• System allows for progress to be reported on objectives and goals within IEP goal pages.
