Translation and Technology Services

The vendor is required to provide that translation and translation technology, including but not limited to translation proxy, connectors and multilingual content management systems.
- Digital & data services requires translation services on a weekly basis and sometimes multiple times a week
- The word count for these translation jobs ranges from 100 words per language pair to 3,000 words per language pair
- To turn around translation jobs within 1-3 business days for smaller projects, or 3-5 business days for larger ones.
- Digital and data services may also request audio transcription for our user research work a few times a year.
- Involve transcription of audio files that may be in english or any of our core languages.
- Transcripts must include timestamps. if the resulting transcripts are in a language other than english, we will subsequently request translation of said content into english.
- Translation services:
• Digital and data services require comprehensive translation services and translation technology, including but not limited to translation proxy, connectors and multilingual content management systems.
• All city websites require human translations of vital information in the core languages to deliver cultural adaptation of city websites, translating content elements in a culturally appropriate way, and providing a clear message.
- All translated material must:
• Be free of mistranslations
• Be conducted by qualified, trained translators and tested with native speakers
• Incorporate the use of digital & data service’s glossary and any other reference materials
• Reflect the reading level of the source content
• Include at least a 3-stage translation process:
a. Translation - initial translation.
b. Translation editing - review and editing performed by a linguist who did not provide the initial translations.
c. Post editing review - linguist who provided the original translations reviews any from step b and accepts and rejects changes as appropriate
- Digital and data services to purchase or obtain a specific type of equipment to access services
- Offers technical options for digital & data services CMS to connect to proposers’ translation management system and provides on-going support
- Confirms receipt of new job requests and queries within 4 hours and proactively provides daily status updates on queries that require multiple business days to address and resolve.
• Since digital and data services does not require quote approval to launch jobs, vendor should confirm expected delivery date and effective word count (total word count sans exact matches) within 24 hours (next business day) of new job request.
- Offers a platform for digital & data services to review translations and provide feedback prior to the target translations being imported back to our CMS.
- Offers access to our most up-to-date translation memories, either through a translation management system, or via alternative method such as file sharing at an agreed upon cadence
- Translators must have fluency in both written english and target language.
- Contract Period/Term: 2 years
- Pre-Proposal Conference Date: March 10, 2025
