The Vendor is required to provide virtual simultaneous live interpretation services and technical support for events, meetings, conferences and webinars on an as and when required basis.
- Requirement:
• Services encompass the provision of simultaneous live interpretation services and technical support for center virtual, and hybrid events, meetings, conferences, and webinars.
• The supplier is required to deliver high-quality interpretation services on both Microsoft teams and zoom platforms, ensuring seamless language support for a diverse range of participants.
• Services must include support for both internal and external attendees, cover all event phases (pre-event, live event, and post-event activities), and accommodate both standard and alternative workflows as needed.
• On Microsoft teams, the supplier must deliver live interpretation without the need for custom development or paid integrations, utilizing native team’s interpretation features where available and providing a documented alternative when necessary.
• The supplier must have the ability to respond to urgent requests within established service response timelines, including short-notice requests received less than twenty-four (24) hours before an event.
• The supplier shall confirm prior to each assignment that the requested Microsoft teams or zoom event format supports the intended interpretation workflow without requiring additional paid tools, services, or platform substitutions.
• The supplier should support external or guest interpreters and maintain compatibility across desktop, web, and (with disclosed limitations) mobile platforms, while also ensuring the use of standard teams controls such as lobby management, muting, permissions, and screen sharing with system audio.
- Pre-event expectations
• Be available 30 minutes before the scheduled start time for technical verification and sound testing.
• Confirm audio quality, microphone settings, interpretation channel access, and connectivity before participants join.
• Be familiar with the virtual platform being used (teams or zoom) and able to navigate interpretation features independently.
• Review meeting details in advance, including agenda, terminology, acronyms, speaker list, and supporting documents when provided.
• Coordinate with organizers and technical support if any issues arise before launch.
- Live event expectations
• Join using a stable internet connection, headset, and professional audio setup to ensure clear interpretation quality.
• Maintain continuous availability during the full scheduled event, including any planned breaks.
• Interpret accurately, neutrally, and in real time, while preserving tone and intent.
• Alert organizers immediately if technical problems affect interpretation quality.
• Work seamlessly with co-interpreters when sessions require rotation.
- Post event expectations
• Provide post event report including use of services, any technical difficulties
• Deliver recording if requested

• Be comfortable using interpretation channels, mute and unmute controls, hand-raise features, and backup audio options.
• Have a backup connection or contingency plan if platform issues occur.
• Ensure background noise is eliminated and work from a quiet environment.
- Professional expectations
• Respect confidentiality of all meeting content.
• Arrive prepared for subject matter complexity, specialized vocabulary, and formal protocol.
• Remain professional and attentive even during pauses or transitions.
