Third Party Administrator Services

The Vendor is required to provide third party administration of requests made by interim housing sites to recover reimbursement of property damage related to the inside safe program, as well as third party administration of claims for other city initiatives as needed.
- To ensure timely handling of damage reimbursements and claims, the City requires a Contractor with expertise in adjusting, claims management, secure digital documentation, and data reporting.
- Services include:
•    Manage reimbursement requests and claims using a digital real-time database that the city can access security and remotely. 
•    This includes the ability to securely obtain verifiable signatures from multiple parties, ensuring documents are complete, accurate, and organized based on the city’s standards.
•    Coordinate with site operators, service providers, and other parties associated with the program including obtaining documents, conducting on-site inspections, evaluating reimbursement requests and claims, resolving disputes, and negotiating payments.
•    Conduct on-site inspections of properties, including on weekends and holidays, and document on-site inspections with industry best practices such as photographs, video, and other standard technology.
•    Report to the city on reimbursement requests and claims on a monthly and quarterly basis at the city’s direction, which may include, but is not limited to, summary statistics, analysis of patterns and trends.
•    Manage data related to the program in compliance with city data policies.
•    Provide clear, complete, and timely deliverables of investigations, evaluations, correspondences, and work performed.
•    Develop a final report by the termination of the agreement of damages administered and work done by the contractor.
