The vendor required to provide claims adjusting incidents consist of, but are not limited to, general liability (slip and fall, personal injury, sewer back-up, flooding), property and automobile related incident reports.
- The claims adjusting services to be provided shall include, but are not limited to, the following:
• Providing adjusting services to include, but not be limited to, investigating, analyzing, assessing, adjusting, negotiating, and settling claims;
• Assuming control and handling of claim files re-assigned from other adjusters or staff;
• Assisting the town with managing and reporting claims subject to protocols relating to applicable insurers;
• Providing skilled and knowledgeable staff who are available 24 hours a day, 365 days a year for services, including but not limited to claim reporting, daytime and after hours visits to scenes of loss or injury and to claimants, responding to telephone, mail and email enquiries, and daytime and after-hours emergency response;
• Delivering professional, knowledgeable, and consistent services from a dedicated adjuster on the proponent’s team for the various coverages under the town’s insurance programs.
• If the applicable dedicated adjuster is not available at the initiation of the claims adjusting process, he will take over management of the claim upon his return.
• This adjuster may have other clients.
• Abiding by the agreed upon response times which will be adhered to during the life of the contract.
• Providing preliminary reports within 24 business hours during an emergency response and subsequent reports every sixty to ninety (60-90) days or at the direction of the designated town staff member, along with loss bordereau reports.
• The successful proponent will work with the town to develop suitable reports and protocols that meet the needs of the town;
• Working cooperatively with the town including their insurers, brokers, suppliers, agents, and legal counsel;
• Providing loss prevention and control services including educational seminars for town staff and representatives.
• Proponents are asked to describe in their proposal the available services including seminar topic suggestions;
• Meeting quarterly or as required to discuss claim status, strategy, and potential resolution and to provide the information required to keep risk management current with the progress of specific claims; and providing a brief annual stewardship report for discussion with the designated town staff member to review and discuss past and future services; such meetings shall be held at town’s office and at no additional cost;
• Complying with all reporting and other requirements set out in the claims protocols or manuals provided by the town;
• Providing electronic information, loss bordereau and other reports.
• Any electronic or on-line claims service, documentation, reporting and related capability; and,
• Providing a claim handling manual to the town.
