Website Updates and Maintenance Services

The vendor required to provide website updates and maintenance services to improve functionality, usability, and public accessibility.
- Website maintenance
•    Platform updates: the contractor will coordinate schedules for website updates with the agency to bring the website up to the latest stable release version.  
•    This includes applying updates to the Mayan electronic document management system (EDMS) application, as well as coordinating with agency staff on any AWS VM and cloud services updates needed to maintain current with AWS supported versions.  
•    The updates will occur semi-annually, or as soon as a stable critical security release becomes available or if the underlying AWS platform requires any mandatory updates prior to the regular semi-annual update cycle.
•    Operational monitoring to ensure the website is online and functioning properly.
•    Tuning and performance optimization.
- Website development
1. Website search configuration
•    The current website software to ensure the existing system built-in search functionality of the Mayan EDMS platform is operating as designed and modify any configuration options to meet the agency search requirements if possible. 
•    This will include any configuration updates required, as well as any document and database reindexing or other steps required. 
•    The contractor will implement any required periodic maintenance tasks to ensure the built-in search functionality remains operational.
•    The intent is to ensure that full search capabilities are properly implemented, if possible, using the built-in search engine.
•    Desired full search capabilities include:
o    Document lookup by advice letter number
o    Document lookup by subject
o    Document lookup by keyword(s) in document
o    Document lookup by utility type
o    Document lookup by utility name
o    Document lookup by advice letter type
o    Filter any document lookup by date or date range
o    Search to also determine and suggest alternate spellings, synonyms, and equivalent terms
o    Search to support wildcards and partial word inputs
2. Website user interface
•    Implement a friendly, intuitive website landing page, utilizing the Mayan EDMS application programming interfaces (APIs), that has search bar on top, with clear instructions about how to use website.  
•    This landing page should integrate with the existing platform.
