Asset Management Upgrade Services

The Vendor is required to provide for the upgrade of its existing azteca city works asset management system (AMS).
- This project includes a migration from the current on premise infrastructure to a cloud-hosted (SaaS) environment, with a critical requirement to align with our current and future Esri ArcGIS version.
- Currently utilizes azteca Cityworks AMS version 15.8.9. Our implementation includes the comprehensive use of modules for: 
•    Work order management 
•    Preventive maintenance 
•    Inventory management 
•    GIS integration 
•    Condition assessments 
•    Financial integration
- Project goals and objectives
•    Achieve full compatibility and seamless integration with our current and future Esri ArcGIS versions, specifically with respond 23.12. 
•    Improve overall workflow management and efficiency within respond 23.12. 
•    Enable streamlined work assignment processes within respond 23.12. 
•    Provide a more intuitive and user-friendly interface for all users. 
•    Facilitate comprehensive cost analysis of assets throughout their lifecycle. 
•    Enhance asset lifecycle management capabilities, from acquisition to disposal. 
•    Improve data analysis capabilities, leveraging the upgraded system and cloud environment for better insights, particularly through integration with power bi. 
•    Transition from an on premise deployment to a secure, scalable, and reliable cloud-hosted (SaaS) solution.
- Data migration
•    All historical work orders and associated data. 
•    All active and historical assets, including all associated attributes. 
•    400 saved work order searches. 
•    400 saved inspection searches. 
•    800 individual work order types. 
•    100 individual custom inspections. 
•    4 domain inboxes. 
•    500 user inboxes. 
•    150 employee profiles. 
•    All tasks and task lists. 
•    All templates (work order, inspection, service request, etc.). 
•    Any existing custom fields, forms, or reports developed within Cityworks 15.8.9 that need to be replicated or re-engineered in respond 23.12.
- System configuration and customization 
•    Configure respond 23.12 to meet the municipality's current and future business processes for asset management, work order management, preventive maintenance, inventory, GIS integration, condition assessments, and financial processes. 
•    Replicate or improve upon existing workflows and business rules currently in place in Cityworks 15.8.9. 
•    Configure user roles, permissions, and security settings within respond 23.12. 
•    Develop or configure custom reports and dashboards within respond 23.12 and/or integrate with POWER BI to meet the municipality's specific reporting and analytical needs, including cost analysis of assets.
