The Vendor is required to provide consulting services for a backlog of records for the student transfer credit evaluations (“project”).
- The primary objective of this project is to:
• Complete the evaluation of all 1,082 outstanding transfer credit transcripts within the specified six-month period.
• Ensure evaluations are accurate, consistent, and in compliance with college policies, articulation agreements, and accreditation standards.
• Provide recommendations for process improvements to prevent future backlogs.
- This backlog impacts student progression, counseling accuracy, and timely transfer planning.
- Firms will be:
• Posting credit and evaluating in PeopleSoft;
• Finding established equivalencies in filmmaker pro; and
• Looking at scanned external transcripts in DocuWare and Box.
- Transfer Credit Evaluations
• Perform transcript evaluations using college-approved criteria, policies, and articulation agreements.
• Accurately record all transfer coursework in the college’s student information system (PeopleSoft or equivalent).
• Maintain quality assurance checks to ensure consistency and compliance
- Progress Monitoring and Reporting
• Provide biweekly progress reports including number of transcripts completed, average processing time, and identification of potential challenges.
• Meet with college project leads regularly to review status, adjust timelines if necessary, and ensure alignment.
- Risk Mitigation and Issue Resolution
• Identify potential risks (e.g., staffing shortages, data system issues, accuracy concerns) and propose mitigation strategies.
• Ensure contingency planning for maintaining timely completion.
- Project Closeout and Recommendations
• Deliver a final summary report documenting completed evaluations, time/cost analysis, and error rate findings.
• Provide recommendations for ongoing process improvements, including staffing models, workflow enhancements, or technology solutions to prevent recurrence of backlog.
