The vendor is required to provide certified court reporting, transcription preparation, and delivery services on an as-needed basis from certified shorthand reporters for commission meetings; (b) develop resources for competent, consistent, dependable court reporters familiar with the terminology used in commission meetings; and (c) provide consistent, accurate, and quality transcripts in a timely manner.
- The contractor shall use court reporters who have established satisfactory evidence of good moral character and have satisfied the competency requirements for court reporting by obtaining a license to practice as a certified shorthand reporter from the court reporters board and whose license is active and in good standing.
- Provide a pdf copy of the transcript and a flash drive.
• Within ten days after a commission meeting and at no additional charge, the contractor shall provide verbatim transcripts comprised of the original transcript and a certified copy, both in an electronic format.
• A certified transcript means an official record of a commission meeting that has been thoroughly reviewed, verified for accuracy and completeness, and signed and dated by the court reporter who prepared it
• The signature shall be accompanied by an acknowledgement or declaration in which the court reporter attests to the transcript’s reliability as an accurate representation of the events and statements that took place during the commission meeting.
• To eliminate critical errors that may impact the reliability of the transcript, the contractor must review transcripts for accuracy, including reviewing for text correctness (no typographical errors); verifying that words are not missing; ensuring names and titles are used and spelled correctly; date exactness; verifying pages are numbered correctly, and other aspects which may undermine the preciseness of the final transcript product.
- Provide audio recording of the proceeding for use as backup or for reference.
- Court reporters shall be ready to participate, no later than 30 minutes prior to the job start time and remain until dismissed by the commission’s project coordinator.
