The Vendor is required to provide court reporting services for Board of Trustees meetings and/or hearings.
- Services will be requested on an as-needed basis, and there are no guaranteed minimums or maximums.
- The court reporter must work cooperatively with Board staff, legal administrative staff, and attorneys.
- Should the court reporter be unable to complete their duties prior to the adjournment of the proceeding, it is the responsibility of the firm and court reporter to immediately make arrangements for a substitute court reporter, and the court reporter or firm shall notify Board Services in writing of the substitution. If feasible, the court reporter shall remain on duty until the replacement arrives.
- Each transcript must contain a cover sheet stating the date, time, and location of the proceeding along with the name of the presiding officer.
- A witness, attorney, and exhibit index must be contained in each transcript.
- Attorneys must be identified by name and address on a separate sheet contained in each transcript.
- The index shall give the name of each speaker and state whether the testimony is in direct examination, cross-examination, redirect examination, recross-examination, final argument, public comment, or otherwise.
- The court reporting service may, in advance of the hearing, ask the agency lawyers handling the matter whether the transcript must be expedited.
- The court reporter must be certified.
- The court reporter may charge a daily reporting fee per day for proceedings that run from 8:00 a.m. to 5:00 p.m. and half-day sessions running from 8:00 a.m. to 12:00 p.m. or 1:00 p.m. to 5:00 p.m. As noted above, the court reporter must be available after 5:00 p.m., and the court reporter may charge either an hourly fee or a flat fee for a range of hours after 5 p.m.
