The vendor is required to provide for the provision of film location signage services including sign warehousing, assembly, modification, placement and removal.
- Film coordinator's responsibilities
• Facilitating initial contact for all film related matters, arranging all necessary film logistics for filming events with internal departments, the film liaison and signage provider, obtaining required permissions and approvals from various district departments (i.e., parks, environment, engineering, utilities, etc.), initiating billing invoices, issuing permits, collecting fees, completing accounting and administration duties and compiling and producing statistical reports.
- Film location signage - district responsibilities
• The district will be responsible for the supply of pre-printed sign blanks, and 2"x2"x4' wood stakes (posts) to the service provider at no charge.
- Film location signage - service provider responsibilities
• The service provider will be responsible for providing warehousing space to store film location signs in a weather protected and secure area.
• The service provider will be responsible for the assembly and modification of signs for each signage request.
• The service provider will be responsible for placement and removal of film location signage as and when needed, in accordance with district bylaws, regulations, policies and directions.
• The service provider will be responsible for the record keeping of the number of signs in warehousing, placed and removed from film locations at any given time.
- Film location signage - service provider requirements
• The service provider will have the capacity and ability to provide film location signage warehousing, assembly, modification, transportation, placement and removal for confirmed film events on an as, if and when required basis.
• The service provider will provide warehousing space to store 100 to 200 signs at all times for use as and when needed.
• Provide protection from the elements (i.e., shed, garage, tarp, etc.) for all signs stored in this area.
• Provider will own or have access to a reliable vehicle with the capacity to transport signs to and from placement locations.
• Provider is required to assemble signs by attaching the pre-printed sign blanks to the appropriate size sign stake.
• Provider will have the capability to modify information on the sign detailing the dates and times of the parking restriction as instructed by the district's film coordinator.
• Provider will own or have access to a printer to modify signs as required and/or as directed by the district's film coordinator.
• Provider will maintain an inventory of film location signs, keep a record of the number of signs placed at each film location and keep a record of the number of signs removed at the end of the filming period.
• The signs should be kept clean and free from dirt and grime
• Any discrepancies will be considered to be missing signs and the service provider will advise the district’s film coordinator and will note the number of missing signs on the invoice for services for the specific filming project.
- Film location signage services
• Film location signage services should include but may not be limited to sign management, warehousing, assembly, modification, transportation, placement, removal, etc. on behalf of the district and in relation to filming company location rentals.
a. Management
• Management of signs should involve keeping accurate records of the number of signs and sign components being warehoused, placed at each film location, removed from each film location and in need of replacement due to wear and tear, loss or damage.
b. Warehousing
• The service provider should provide warehousing for an inventory of 100-200 signs and sign components.
• The service provider should maintain a supply of not less than 100 assembled signs for use as and when needed.
• The signs should be stored in a space protected from the elements by a structure such as a shed or garage or may be securely covered with a tarp.
c. Assembly
• Sign assembly will be completed by the service provider
• The service provider will be responsible for the attachment of the sign blank to the appropriate length of sign stake.
d. Modification
• Film location signs require modification of information specific to a particular filming project including dates and times when parking restrictions are in place.
e. Transportation
• The safe and efficient transportation of the signs to and from the film project location will be the responsibility of the service provider.
