The Vendor is required to provide comprehensive managed information technology (it) services and conduct a thorough assessment of the museum’s current it environment.
- Provide for managing and maintaining museum’s technology infrastructure, delivering responsive and effective IT support, ensuring system security, and guiding the development of IT policies and a long-term strategic plan to support the sustainability and growth of our technological environment.
- Divided into two components: Part A – managed services and support (ongoing), and Part B – it assessment, inventory, policy development, and strategic planning (contracted).
- Part A – Managed Services and Support (Ongoing)
• Provide reliable, responsive, and proactive it support services to ensure the ongoing functionality and security of the museum’s technology environment. Services will include:
• Help desk and user support: timely technical assistance to museum’s staff, including remote and on-site troubleshooting, hardware/software support, and user training as needed.
• Network and infrastructure management: monitoring, maintenance, and optimization of network performance, servers, cloud services, and related infrastructure.
• Security and compliance: implementation and oversight of cybersecurity measures, including antivirus protection, firewall management, patching, and backup systems, to ensure data integrity and compliance with relevant standards; regular testing and training of users to ensure compliance with cybersecurity requirements.
• Asset management: maintenance of up-to-date records of hardware and software assets, including lifecycle management.
• Reporting and communication: regular reporting on service metrics, system performance, and any incidents or risks, along with clear and responsive communication with designated museum’s staff.
- Part B – IT assessment, inventory, policy development, and strategic planning (contracted)
• This component involves a comprehensive, one-time project to evaluate the current state of the museum’s IT environment and establish a strategic foundation for its future development. Deliverables will include:
• IT environment assessment: evaluation of current infrastructure, systems, and IT practices to identify strengths, weaknesses, risks, and areas for improvement.
• Asset inventory: creation of a complete inventory of all it hardware and software, including location, usage, and licensing information.
• Policy development: drafting of key IT policies (e.g., acceptable use, data security, backup and recovery, access control) tailored to the museum’s needs and operations.
• Strategic it plan: a 3–5-year IT strategic plan aligned with museum’s organizational goals, including recommendations for system upgrades, cybersecurity enhancements, technology adoption, staffing needs, and budget forecasting.
