The vendor is required to provide IT group, has an ongoing need for project management, business analysis, and IT development and testing services to support campus clients, often on short notice.
- Roles and responsibilities
• Provide fully vetted (interviewed and references checked) and qualified resources
• Provide candidate resume(s)
• Provide the university advance notice of any accommodations required, e.g., screen reader software
• Bring your own device [BYOD] may be a condition of some engagements.
• The device must be encrypted
• All data related to this engagement will be stored on the university’s infrastructure – no data will be stored on the supplier’s personal devices.
• Exceptions to this must be approved by the university.
• Accurately and expediently report all authorized charges and expenses
• Report any risks or concerns immediately to the designated university contact with recommended mitigation options
• Abide by university processes procedures, and policies
• Be available to work on site unless other arrangements have been agreed on a per engagement basis
• If the candidate is to be paid hourly, then the supplier agrees not to exceed the hours as agreed upon unless authorized by the university, and to track time via weekly or biweekly time sheets.
• As a general rule, suppliers or their employees will not deploy code to production
• Participate in exit interviews, optional and may not be required for every engagement.
- University roles and responsibilities
• Provide a primary contact for the overall vendor of record (VOR) and for each engagement
• Provide appropriate access to the network, facilities and university personnel as required
• Provide the appropriate hardware and workspace for use while working onsite
• Provide access to knowledgeable staff as required
• Provide access to the appropriate decision-making authority
• Ensure workspace facilities are available that includes a computer, university user id, work area, printervnetwork connectivity, phone and any specific accommodations
• Address any accommodations (i.e., screen reader software) as agreed upon
• Obtain and provide information, data, decisions and approvals, within 2 working days of supplier’s request, unless both parties agree to an extended response time
• Resolve deviations from project plans that may be caused by the university
• Help resolve project issues, and escalate issues within the university’s organization
• Monitor and report project status on a regular basis with the university’s management
• Conduct an exit interview, optional and may not be required for every engagement.
