The Vendor is required to provide ongoing comprehensive services to support our media, digital, social media, public engagement, graphic and video design, and website initiatives.
- The ideal agency partner will possess expertise in media strategy and execution, with a demonstrated ability to adapt to complex and evolving environments.
- They must be able to adjust tactics based on emerging trends, the community needs, and stakeholder feedback.
- The Services will focus on four objectives:
• Media Strategy / Public Engagement;
• Digital and Social Media Management;
• Graphic and Video Design; and
• Website Support.
- Media Strategy / Public Engagement
• Through consultation with senior agency leadership, experts and stakeholders, assist in implementing agency media strategy in line with agency mission and values.
• As strategic goals change, revise the media strategy to remain current and impactful, provide mechanisms for ongoing evaluation and refinement of the strategy.
• Develop ongoing strategic, measurable media planning that includes clear objectives and key performance indicators.
• Provide crisis issues management support as needed by providing guidance and recommendations for proposed approaches.
• Facilitate ongoing media strategy sessions with agency leadership and staff when required. This may include the ability to develop a staff engagement study for understanding their needs.
• Conduct media training with senior leadership.
• Conduct consultations as necessary and work collaboratively with internal and external stakeholders and partners.
• Cultivate media contacts to support the placement of op-ed and thought leadership pieces.
• Assist in identifying key events and platforms that agency should engage with to elevate agency presence. Provide assistance as needed in the planning of engagement activities.
• Prepare speaking notes and presentations for senior leadership when required.
• At the discretion of agency, attend when appropriate conferences or events on behalf of, or with agency officials, to provide event support.
• Attend regular meetings with agency CEO and executive leadership team as needed.
• When required, attend meetings with government officials on behalf of agency.
• Support the creation of press releases, media kits, and other media materials and release them when appropriate.
• Light monitoring of relevant media coverage.
• Conduct public polling.
- Digital and Social Media Management
• Provide strategic content creation, and performance analysis across traditional, digital, and social platforms to grow agency reach.
• Develop a content rolling monthly calendar of key dates, post topics, and platform targets based on information provided by the Contract Manager or senior agency leadership.
• Create and post unique social media posts, including graphics and captions, on agency social media platforms.
• Create and distribute a monthly newsletter.
• Other products as determined by agency.
- Graphic and Visual Design Services
• Create visual content for various media platforms so content is presented intuitively for the user.
• Video production using stock, branding, or provided footage.
• Photo editing for color correction, touch ups, as well as more significant projects.
• Graphic design services for the creation of various materials to include but not limited to presentations, business cards, flyers, brochures, infographics, annual reports, business plans, forms, reports, ID cards, newsletters, fact sheets, templates, amongst others.
• Finalize evidence briefs and research snapshots for print and website.
• Ensure designs align with agency brand identity and there is consistency in design across all materials.
• Other corporate products as determined by agency.
- Website Maintenance and Support
• Provide regular updates and maintenance of agency website, ensuring it remains user-friendly, secure, and up to date.
• Troubleshoot technical issues, including performance optimization, security updates, and backups.
• Implement new features and functionalities as needed, including the integration of new content, forms, and interactive tools.
• Monitor and improve website accessibility and search engine optimization (SEO). Complete a baseline SEO within the first month of the contract. Implement the most relevant SEO improvements and provide quarterly reports.
• Provide monthly website analytics and engagement reports, including user behavior, bounce rate, and top-performing pages.
• Conduct an accessibility compliance quarterly report and address priority issues.
• In consultation with agency staff, develop an intranet site, to include design, content organization, platform setup, structure and navigation ensuring it functions as a user-friendly hub for employees.
