The vendor is required to provide records retention consulting services for include:
• Evaluation of current records retention schedule
• On-site assessment and discovery interview sessions with teams from each city to identify records generated, repositories, and processes.
• Provide a retention schedule based on the records created, used and retained by each department and division in a format that is intuitive to the end user and includes references to applicable federal, state, and local laws and regulations.
• Develop and deliver comprehensive training materials for city staff to ensure a thorough understanding of the updated records retention schedule.
• These training materials will be designed to educate staff across all departments on the proper procedures for implementing and adhering to the new schedule.
• Provide a product in a commonly used format (such as excel, word) that can be amended and updated by the city as needed without further consultation of the selected vendor, unless the city chooses to engage in additional services with the selected vendor.
