The Vendor is required to provide department with on-site digitized photocopy and scanning services, to copy confidential medical records, diagnostic images, charts, depositions, and court documents.
- The scanning and photocopying services shall be performed at various locations designated by the board staff including hospitals, clinics, doctor’s offices, courthouses, attorney’s offices, board headquarters, and various other requested locations throughout state.
- The services shall be performed during normal working hours of 8:00 a.m. to 5:00 p.m., Pacific Standard Time, Monday through Friday, except state holidays.
- Must be able to provide optical character recognition (OCR).
- This software provides board staff and consultant’s ability to search key words, dates, names, etc. when scanning records.
- Uniquely identify each individual user to enforce individual accountability for those accessing the system.
- Maintain authentication data that includes information for verifying the claimed identity of individual users (e.g. passwords).
- Upon board request, contractor shall provide access to security logs for all department users and activities for audit purposes.
- Contractor shall notify board within 24 hours of any identified breaches to the recovery program system.
- Provide their own transportation, scanning equipment, portable copier, materials, and technicians necessary to provide the digitized scanning photocopying services.
