The Vendor is required to provide to coordinate with a vendor to digitize still image nitrate and acetate film.
- After digitization, the nitrate film will be destroyed, and the acetate film returned.
- The library plans to initially digitize approximately 5,600 negatives and 3,000 negative enclosures from the state Collection.
- Additional negatives may be digitized in subsequent work between the library and the vendor.
- The library will work with the vendor to digitize batches of negatives over time, in an agreed-upon schedule of number of items in a given time period – for example a defined number of negatives + enclosures per month, per quarter, or per year.
- This includes a total of 5,593 negatives of varying sizes and 3,003 negative enclosures, all of which shall be digitized by the vendor.
- The library will work with the vendor to coordinate getting materials to the vendor for digitization within that time period.
- Enclosures do not need to be digitized for any other collections.
- All enclosures to be digitized will also be marked “(Original Enclosure)” on the label.
- Only the front of the enclosure will be digitized; the blank back side of the enclosure does not need to be digitized.
- Files within the folder:
• Negative preservation image file(s)
• Intermediate image file(s)
• Enclosure image file
• Checksum.
