- The legal software solution features are categorized below as “non-negotiable” and “desirable”.
• non-negotiable - the solution must include the following features:
o Intake: support global import of existing matters from a spreadsheet or a SharePoint drive, import of e-intake documentation submitted via office intranet site or the software solution with automated new matter creation, and manual input of intake details for automated matter creation.
o Case management: track and manage legal cases and matters, including case details, documents, deadlines, communications, and spend.
o Contract management: create, store, and manage contracts with version control, approval workflows, and e-signature features.
o Document management: store, organize, and retrieve legal documents and templates securely with access controls and audit trails, in addition to creating automated drafts of certain documents.
o Reporting and analytics: generate reports – including dashboards that provide easy-to-digest visual representations of real-time data, delivering key performance indicators (KPIs) and tracking progress toward achievement of objectives – and analytics to uncover insights, causal relationships, and trends.
o Integration: seamlessly integrate with existing systems such as outlook (email and calendar) and SharePoint.
o Authentication: integrate with institutional authentication mechanisms to leverage shared credentials, multi-factor authentication, and single sign-on capabilities.
o E-invoicing: support vendor-created invoices in a structured digital format, electronic transmission to office, electronic verification of invoice details and approval for payment, with or without modification.
• Desirable – we ask that the solution include the following enhanced, though not essential, features:
o Client portal: allow clients to check on the status of their matters with the ability to configure information that they can access.
o Policy management: provide a centralized repository to manage policy versions, track required reviews, connect related procedures, and chart dates policies went into effect and, if applicable, were superseded or rescinded.
