Computerized Maintenance Management System Solution

The vendor is required to provide computerized maintenance management system (CMMS) solution will support the city’s efforts to improve its maintenance tracking, field service efficiency, asset lifecycle management, and asset performance reporting.
- CMMS solutions that demonstrate ease of use for the division’s maintenance staff, strong mobile field capabilities, effective inventory management, and robust asset reporting functions to support data-driven decision-making.
- Implementation plan
1. Project management
•    Provide the appropriate project management activities including project coordination, scheduling, reporting, and risk management activities. 
•    The successful proposer is expected to work partially on-site and partially remote. 
•    During critical project phases (e.g., requirements gathering, testing, end-user training, and go live), the proposer’s team should be on site to assist city personnel.
2. Discovery
•    Identify and schedule discovery workshops that will evaluate the city’s current and future business practices, operating requirements, and system integration requirements for the new CMMS solution.
3. System configuration
•    Install and configure the software to support the city’s desired business and system requirements. 
•    Lead integration strategy workshops to review and agree on the detailed system interfaces with the city’s Esri ArcGIS online and Edmunds ERP software solutions.
4. Data conversion and migration
•    The city has a mixture of various asset data in a variety of forms and qualities. 
•    The city desires the successful proposer to perform data conversion activities including data mapping, development of conversion specifications, conversion programming, conversion testing, intermediate conversions as needed, and production conversion of the city’s maintenance history.
5. Testing
•    The new CMMS solution will require interaction with other city systems which will send and receive data. 
•    The interfaces and integration strategy identified and agreed to during analysis phase, the successful proposer will program and configure system to integrate the new CMMS solution with the other city applications.
