Processing and Compliance Solution

The vendor is required to provide processing and compliance for the generation, processing, distribution, and regulatory compliance of internal revenue service (IRS) form 1098-t for all eligible students.
- Form generation and processing
•    Accurately generate IRS-compliant 1098-t forms for all eligible students, including both paper and electronic versions. 
•    Ensure forms reflect the correct box entries (e.g., payments received, scholarships, adjustments) according to IRS regulations, based on data generated by the college. 
•    Automatically handle corrections and amendments for previously issued forms. 
•    Provide batch processing capabilities to handle large volumes efficiently.
- Data management
•    Support secure data import and export using industry-standard protocols. 
•    Validate and cleanse data to minimize errors in form generation. 
•    Provide tools for manual data entry and correction when necessary.
- Regulatory compliance and updates
•    Ensure all forms comply with the latest IRS regulations and tax codes related to the 1098- t.
•    Provide timely updates and patches to reflect regulatory changes, including electronic filing requirements with the IRS. 
•    Provide IRS filing and submission, including electronic filing through the IRS fire system or approved channels. 
•    Maintain audit trails and logs for compliance review and internal auditing.
- Customer support and training
•    Offer comprehensive training for institutional staff on the use of the system and compliance procedures. 
•    Provide user-friendly documentation and tutorials. 
•    Provide technical support during the implementation phase and ongoing operations, including a dedicated help desk and timely response commitments. 
•    Offer student support services or FAQs to assist students with common 1098-t questions.
- Reporting and analytics
•    Generate detailed reports on form issuance, delivery status, and compliance metrics.
•    Support export of reports in common formats (csv, excel, pdf).
•    Provide dashboards for real-time monitoring of the 1098-t processing lifecycle.
