The Vendor is required to provide a comprehensive student management system (SMS) that supports the unique needs of our career and technical education (CTE) and special education (spec ED) programs.
- System must be robust, secure, compliant with state and federal regulations, and capable of integrating with existing infrastructure.
- These legacy systems operate on outdated operating systems, creating significant risks related to cybersecurity, data integrity, and long-term maintainability.
- Ensure support for division-specific features such as program-specific employability assessments, student program enrollment, course registration and grading, attendance tracking, integrated subject tracking and outcome and attendance reporting to sending school districts.
- Ensure support for Special Education features including documentation of service delivery to students in response to an IEP, documentation and reporting on student transportation needs.
- Provide a cloud-based SMS platform.
- Configure the system to support multiple division programs, courses, and sections.
- Establish a comprehensive data model encompassing student, district, school, and agency levels to support registration in offered programs and courses, student attendance tracking, grading, and regular data sharing with the districts served.
- Support Special Education workflows including service logs, medical and health records and alerts, and transportation needs.
- Ensure FERPA compliance and cybersecurity best practices.
- Offer training, support, and ongoing maintenance. - Course and Section Management
• The system must support the creation of career and technical education (CTE) courses and associated sections.
• Sections must be configurable by session (AM/PM) or time of day.
• The system must allow one or more instructor assignments to course sections.
• Support for role-based access to grading and attendance.
- Enrollment/Registration Capabilities
• Support single and bulk enrollment of students into primary and integrated courses.
• Allow enrollment into primary courses without integrated academic components.
• Enable staff to pre-enroll students in future academic year courses and sections.
• Maintain enrollment history across multiple academic years.
• Support course/section drops, ads, and transfers.
• Support enrollment of students with different billing categories (e.g., course service category, student group).
- Integrated Course Logic
• Enable linking of integrated academic courses (e.g., Math, Science) to a parent division course for shared grading and attendance.
• Demonstrate shared grading logic between primary division courses and integrated academic classes.
• Allow recalculation or override of integrated course grades when primary course grades change.
• Display integrated courses and grades on student transcripts.
• Present integrated course grades in district reports.
• Support grading equivalency setup between integrated and regular academic courses.
