The vendor required to provide telephone replacement system an on -premises based, IP-based unified communications (UC) system to replace the existing legacy telephone infrastructure across 16 locations, supporting approximately 468 users.
- The system shall be turnkey, including all hardware, software, installation (labor and supervision), training, documentation, and support as specified herein.
- Hardware requirements
1. Desk phones
• Minimum 468 IP desk phones, meeting the following criteria:
• Color display (minimum 320x240 resolution)
• Integrated gigabit ethernet switch with pc pass-through
• POE (IEEE 802.3af or higher) compliant
• Wideband audio (g.722 or equivalent)
• Hearing-aid compatible handset
• Minimum of 4 programmable line and feature keys
• Wall-mountable or desk-stand capable
• Basis of design: cisco 9841, or district-approved equivalent
2. Conference phones
• 360° microphone pickup with echo cancellation
• POE (IEEE 802.3af or higher)
• Suitable for rooms of at least 20’ x 20’
• Expandable microphone options
- Network and cabling requirements
• Existing district network is cisco-based.
• Approximately 453 phones will connect via shared ethernet at user workstations.
• Approximately 15 locations require new cabling:
o provide new cat6 cabling, installed in conduit or raceway where required.
o Each run shall be tested and certified.
• Vendor shall not modify the district’s core network infrastructure; district it will retain responsibility for any required backbone upgrades.
- System features
• Voicemail with voicemail-to-email integration (smtp or exchange and google workspace compatible)
• Auto-attendant with multi-level call routing
• Call forwarding, transfer, hold, and park features
• Call recording (native or licensable option)
• Integrated e911 support with location-specific caller id
• Web-based administrator portal allowing district staff to perform moves, adds, changes, and basic troubleshooting
• System redundancy and high-availability preferred.
