The Vendor is required to provide to implement and configure the PeopleSoft Time and Labor module within our existing PeopleSoft 9.2 environment.
- The goal is to modernize and automate time collection, calculation, and approval processes for various employee groups, ensuring accurate pay integration with the Payroll module and adherence to collective bargaining agreements and institutional policies and a reduction in manual effort in Payroll processing.
- Salary employees: These employees currently report time every other week. We want guidance if we should implement absence only reporting or allow for easy copy of last week’s data for easy submission. We would like the system to at least auto populate scheduled work hours and allow for absence only editing and a streamlined submission process.
- Hourly Employees: These employees need to be able to report time off as well as clocked time worked. These employees receive overtime which needs to be accounted for. Additionally, some employee groups may receive comp time.
- This pay is often awarded as comp time in a one for-one straight time scenario, meaning it is comp time but not at time-and-a-half the way other comp time is calculated when chosen versus overtime pay.
- Faculty: Faculty pay is currently calculated based on class hours, and years of tenure and populated into HR Additional Pay. Faculty only report absences that can be submitted via a form that notifies their class for day of absences, or other scheduled absences like conferences. We would consider loading faculty into Absence Management or using Absence only reporting in Time and Labor to reduce leave balances.
- Employees may hold multiple jobs at the college. The system must allow an employee to select the correct position and properly route it to the supervisor for that position.
- The system must allow only valid leave times for the employee’s position.
- Payroll must be able to handle exception situations where the supervisor is not available.
- If an employee is on leave or out of the office supervisors must be able to delegate timesheet approval to someone else.
- Assistance with implementing an optional Absence management framework as part of this implementation is requested.
- Testing Scripts to use PeopleSoft Test framework to allow for streamlined patch testing (optional).
