The Vendor is required to provide to procure written translation services.
- The Agency expects the requested volume of translation work to be approximately 450,000 words per year.
- Must have the ability to provide translations into any target language, but the majority of requests will be translations into Albanian, Arabic, Bengali, Simplified Chinese, Traditional Chinese, French, Haitian Creole, Italian, Korean, Polish, Russian, Spanish, Urdu and Yiddish. (These languages are referred to as the “standard 14 Agency languages.”)
- Languages outside of these Agency standard languages, including Wolof and pulaar, will also be requested regularly.
- Requests will also be made for translations from any language into English.
- Estimated break-down of requests:
• 300,000 English language words into 14 Agency standard languages
• 100,000 words of translation from one of the Agency’s 14 standard languages into English
• 45,000 English language words into a language other than the Agency’s standard 14 languages
• 5,000 words from a language other than the standard 14 into English
- All translations requested under this contract will be done via human translation.
- Machine translation is not being requested under this contract.
- Must have access to all widely used and commercially available software, including, but not limited to the Microsoft suite (including InfoPath), the adobe suite of programs and Canva.
- Translations into alternative languages will be returned in the original file format.
- Formatting costs can be invoiced separately. (“formatting can include but is not limited to, all elements of document layout, such as margins, alignment and positioning of various document elements, font selection and size adjustment, spacing, placement of logos and graphic elements and ensuring appropriate file naming to confirm document language.)
- Translations into English can be returned as text-only documents in the format of the provider’s choosing.
- Must have a process for tracking, storing, and maintaining records of previous translations and translation requests.
- Translation errors/formatting errors introduced by the contractor will be corrected by the contractor at no cost to the agency.
- Responsible for ensuring that all staff, contractors, and agents working under this contract, including linguists, formatters, copy editors and administrators maintain the highest level of confidentiality.
