The vendor is required to provide an event management software for the county fairgrounds and events center.
- The EMS would allow for the creation and support of online events, receipting, and reporting for these events.
- The event management software should have the ability to:
• Create, track and maintain client database
• Store electronic documents (emails, word documents)
• Generate sales reports
• Create and maintain multiple rental rate schedules
• Create and modify contracts based on locations booked and event specific rate schedule
• Create event-specific payment plans and auto-generate an invoice in accounts receivable when payment dates become due
• Create and maintain multiple equipment rate schedules
• Produce a list of all client payments that are still in reserve account
• Perform accounts receivable functions to track invoices that have been sent to clients, money owed, statements, ageing reports, etc.
• Create and issue work orders for tasks to be accomplished and track them for timely completion, assign labor, and maintain their schedules
• Share event information to an online calendar
• Communicate with new world software
• Interactive facility map management.
