1. About RFPPlanet and Our Services
RFPPlanet is an online platform that helps businesses, contractors, consultants, and procurement professionals discover and track government and public sector procurement opportunities. Our services include, but are not limited to, the following:
- RFP Search and Discovery: We aggregate and publish Requests for Proposals (RFPs), Requests for Quotations (RFQs), Requests for Information (RFIs), and other procurement notices from government agencies and public institutions across the United States, Canada, the United Kingdom, and other regions.
- RFP Categories: Users can browse procurement notices organized by industry category, such as technology, construction, healthcare, marketing, engineering, and more.
- Expired RFP Archive: We maintain an archive of past procurement notices that users can access for research and reference purposes, free of charge.
- Email Alerts: Registered users can set up customized email alerts to receive notifications when new procurement opportunities matching their chosen categories, states or provinces, and keywords are published. Alerts can be configured for daily or weekly delivery.
- Document Downloads: Registered users may download procurement documents either by purchasing individual documents or through one of our paid subscription plans.
- Subscription Plans: We offer Free, Starter, and Growth subscription tiers that provide varying levels of access to alerts, document downloads, and platform features.
- User Account Management: Users can create and manage accounts, save their preferences, manage their subscription, view their purchase and download history, and manage their wishlist.
- Saved Search Filters: Growth plan subscribers can save their preferred search filters and have them automatically applied when they log back in.
- Coupon and Promotional Offers: We periodically offer discount codes and promotional pricing that users can apply during checkout.
These services may evolve over time, and this Privacy Policy will be updated accordingly when material changes affect how we process your data.
2. Information We Collect
We collect information in the following ways: directly from you when you register or use our platform, automatically as you browse our website, and from third-party service providers where applicable.
Information You Provide Directly
- Account Registration: When you create an account, we collect your name, email address, and a password of your choosing. You may also optionally provide your phone number and company or organization name.
- Profile Information: Any additional information you add to your profile, such as business details or professional background.
- Alert Preferences: Your selected categories, states or provinces, countries, keywords, and notification frequency when you set up email alerts.
- Search Filter Preferences: If you are a Growth plan subscriber, we store your saved search filters so they can be restored automatically when you return.
- Purchase and Transaction Details: When you purchase a document or subscribe to a paid plan, we record the item purchased, the plan selected, the transaction amount, the currency, billing cycle, and transaction reference identifiers provided by our payment processors. We do not store your credit or debit card numbers, CVV codes, or full billing addresses on our servers. All payment processing is handled by secure third-party gateways.
- Communications: If you contact us by email or through our contact form, we retain a record of that correspondence including your message content, email address, and the date of contact.
- Coupon Usage: When you apply a promotional coupon, we record the coupon code used and its association with your account or transaction.
Information Collected Automatically
- Log Data: Our servers automatically record certain information when you visit our website, including your IP address, browser type and version, operating system, the referring URL, the pages you view, the time and date of your visit, and the time spent on each page.
- Device Information: We may collect information about the device you use to access our platform, such as the hardware model, screen resolution, and device identifiers.
- Usage Patterns: We collect information about how you navigate the platform, including search queries entered, categories browsed, RFP notices viewed, filters applied, and links clicked.
- Cookies and Similar Technologies: We use cookies, web beacons, and local storage to recognize returning visitors, remember your login session, track your preferences, and analyze website performance. More detail about how we use cookies is provided in Section 7 of this Policy.
Information from Third Parties
- Payment Processors: After a transaction is completed, our payment processors (including PayPal and Razorpay) send us confirmation data such as a transaction ID, payment status, and the amount processed. We do not receive or store your full card details.
- Analytics Providers: We receive aggregated and anonymized analytics data from services such as Google Analytics to help us understand how users interact with our platform. This data does not identify you personally.
3. How We Use Your Information

We do not sell your personal information to any third party, and we never will. We share your information only in the limited circumstances described below.
- Payment Processors: When you make a purchase, your payment details are transmitted directly to our payment gateway providers (PayPal and Razorpay). These providers process transactions on our behalf and are bound by their own privacy policies and applicable financial regulations. We receive only a confirmation of the transaction, not your full payment credentials.
- Email Service Providers: We use third-party email delivery services to send account-related communications and alert notifications. These providers process your email address on our behalf and are contractually required to keep it confidential.
- Analytics and Performance Services: We share anonymized and aggregated usage data with analytics providers to help us understand user behavior and improve our platform. This data cannot reasonably be used to identify you.

The providers of these services may have access to personal data as part of their infrastructure operations, but only to the extent necessary to provide those services and under strict confidentiality terms.

- Protection of Rights: We may share information when we believe in good faith that disclosure is necessary to prevent fraud, protect the security of our platform, enforce our Terms of Use, or protect the rights, safety, or property of RFPPlanet, its users, or the public.
- Business Transfers: In the event that RFPPlanet is involved in a merger, acquisition, sale of assets, or similar business transaction, your information may be transferred as part of that transaction. We will provide notice through our website or by email before your data becomes subject to a materially different privacy policy.
6. Data Retention
We retain your personal information for as long as your account is active or as long as is reasonably necessary to provide you with our services. Specifically:
- Account information is retained for the duration of your account. If you request deletion of your account, we will remove your personal data within a reasonable period, subject to any legal obligations that require us to retain certain records.
- Transaction and billing records are retained for a minimum of seven years to comply with financial and tax recordkeeping obligations.
- Alert configuration and saved search preferences are retained for as long as your account remains active and those features are in use.
- Communications sent to our support team are retained for a period of three years to assist in resolving follow-up inquiries.
- Log data and usage analytics are typically retained in identifiable form for up to twelve months, after which they may be aggregated or anonymized for longer-term analysis.
After the applicable retention period, personal data is securely deleted or anonymized.

Managing Your Cookie Preferences
You can manage or disable cookies at any time through your browser settings. Most browsers allow you to refuse new cookies, delete existing cookies, or receive a notification before a cookie is placed. 8. Data Security
We take reasonable and appropriate technical and organizational measures to protect your personal information from loss, unauthorized access, misuse, disclosure, alteration, or destruction. Our security practices include:
- Encryption of data in transit using industry-standard Transport Layer Security (TLS) protocols.
- Secure storage of passwords using hashing algorithms rather than storing them in plain text.
- Access controls that limit which team members and service providers can view personal data, based on their job function and on a need-to-know basis.
- Regular monitoring of our systems for vulnerabilities and potential security incidents.
- Use of reputable, PCI-DSS-compliant payment gateways so that we never handle or store your raw card payment credentials.
Despite these measures, no security system is completely impenetrable. If you have reason to believe that your interaction with us is no longer secure, or if you suspect that your account has been compromised, please contact us immediately at [email protected].
9. Your Rights and Choices
Depending on your country or region of residence, you may have the following rights with respect to your personal information. We will respond to verified requests within the timeframe required by applicable law, and in no case later than thirty days from receipt of your request.

- Right to Erasure: In certain circumstances, you have the right to request that we delete your personal information. We will honor such requests unless we are required to retain the data by law or for legitimate business purposes such as resolving disputes or enforcing agreements.
- Right to Restriction: You may ask us to limit the way we process your data in certain situations, for example while a dispute about the accuracy of your data is being resolved.
- Right to Data Portability: Where technically feasible and legally applicable, you may request a machine-readable copy of the personal data you provided to us so that you can transfer it to another service provider.
- Right to Object: You have the right to object to processing of your personal data that is based on legitimate interests, including any direct marketing communications.
- Right to Withdraw Consent: Where we process your data based on your consent, you have the right to withdraw that consent at any time. Withdrawing consent does not affect the lawfulness of processing that occurred before withdrawal.
- California Residents (CCPA): If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, the right to request deletion, and the right to opt out of the sale of personal information. We do not sell personal information. To exercise your rights, please contact us at [email protected].
To exercise any of the rights listed above, please send a written request to [email protected]. We may ask you to verify your identity before processing your request to ensure we are protecting your data appropriately.
