The Vendor is required to provide recording and transcription services.
- The recording of the planning board proceedings by stenographer or court reporter would involve the following.
- The assumption is that the planning board meetings are from 6:30 p.m. to 12:00 a.m., and that the planning board meets Tuesday evenings, a total of 42 meetings.
- Additional meetings on Tuesday evenings may be scheduled.
- Stenographic services, recording and transcription of the city
• A stenographer or court reporter familiar with all procedures of the meeting to record verbatim what is said at the planning board public meetings and hearings, and to identify each speaker, using generally accepted stenography practices and equipment.
• The meetings may be held either in person or on-line via zoom, and the successful bidder shall have the necessary capabilities of completing the services for both meeting platforms.
• Record and transcribe hearings and shall provide verbatim transcripts, certified as to truth and accuracy, of the proceedings at the planning board public hearings and meetings.
• Produce a certified, verbatim transcript and send it to the department within five working days of each such hearing and must be able to handle evening meetings and hearings which may end as late as midnight.
• Provide a telephone number to reach the recorder in the event of an emergency.
- Inspectional Services
• The assumption is that the board hearings are from 6:00 p.m. to 12:00 a.m., and that the board meets Thursday evenings, twice a month for a total of 24 meetings.
• A stenographer or court reporter familiar with all procedures of the meeting to record verbatim what is said at hearings and to identify each speaker, using generally accepted stenography practices and equipment.
• Record and transcribe hearings and shall provide verbatim transcripts, certified as to truth and accuracy, of the proceedings at the board of zoning appeal hearings.
• Must produce a certified, verbatim transcript and deliver it to the inspectional services department within five working days of each such hearing.
• Provide a telephone number to reach the recorder in the event of an emergency.
- HR department
• A stenographer or court reporter to record verbatim what is said at the hearings, and to identify each speaker, using generally accepted stenography practices and equipment.
• Must be available to record and transcribe hearings, including evening hearings, and shall provide verbatim transcripts, certified as to truth and accuracy, of the hearings.
• Must be able to produce a certified, verbatim transcript upon receipt of an audio file of a previously recorded hearing
• Produce a certified, verbatim transcript and deliver it to the HR department within five working days of each such hearing or receipt of each such recording.
• Return unaltered original recordings to the HR department.
