RFP Description

The Vendor is required to provide the implementation of a comprehensive time tracking and scheduling system.
- This system aims to streamline the monitoring of staff hours, overtime, and leave usage, ensuring accurate recordkeeping and improved resource allocation across the department.
- Provide a correctional-grade scheduling and workforce optimization platform—along with expert consulting services—that can support:
• Real-time visibility into staffing rosters, including leave balances, absence trends, and potential abuse indicators.
• Proactive management of staff attendance and leave usage
• Identification of patterns indicating potential leave abuse
• Early-warning indicators and reporting tools that allow supervisors to intervene before issues escalate
• Enhanced visibility into leave trends and outliers, helping leadership make informed data-driven decisions
• A system that not only tracks absences but helps foster accountability, fairness, and operational stability    
• Immediate reporting capabilities for supervisors to access staffing data such as overtime, post coverage gaps, and shift utilization.
• Wellness and fatigue monitoring features to reduce burnout and increase staff safety.
• Certification and training tracking with automated alerts for upcoming expirations, notifying supervisory staff in advance.
• Vacation bidding tools, easy-to-read shift templates, and staff branch locators.
• Automated post assignment logic based on training, qualifications, and real-time staffing conditions.
• Mobile accessibility for shift trades, leave requests, shift acceptance, schedule viewing, and alerts.
• A dedicated sandbox environment to safely test and deploy new scheduling configurations or features.
• Integration with agency HR system to ensure seamless and automated data synchronization with minimal manual data entry.
• Flexibility and adaptability, with vendor support available for implementing changes within 24-48 hours upon request.
- Deploy a scheduling and workforce management platform with features that include:
• Access to reporting, analytics, and real-time data
• Integrated certification and training tracking for compliance and scheduling purposes
• Staff fatigue monitoring and alerts
• Customizable, intuitive schedule templates
• Shift trading functionality that allows staff to swap shifts and save leave
• Vacation bidding and time-off management
• Staff resource locator by branch/unit/facility/area, etc.
• Mobile app integration for on-the-go access
• Single Sign-On (SSO) support
• Synchronization with existing HR systems
• Flexible configuration support within 24 hours of a change request
• User-friendly design that is easy to teach to multiple users across all facilities
• Admin-level access for each facility, with simple training and role-based management tools
• Training resources and onboarding support that don’t require a tech degree or hours of deciphering—just practical tools for real people.
