The Vendor is required to provide a comprehensive student engagement software solution.
- This software will facilitate seamless coordination of various processes within the university portal, enhancing student engagement, organizational management, and administrative oversight.
- Services include:
• Student organization management: maintain a directory of active student organizations, including organization officer and member information.
• Organization directory: provide a publicly accessible directory of active student organizations, allowing prospective members to view organization details and initiate communication with organization officers.
• Communication tools: enable the creation and distribution of newsletters and marketing materials via email.
• Forms & workflow automation: support the creation and management of forms, submission tracking, collection of submitter data, and dynamic workflow approvals.
• Budget & finance management: allow student organizations to request budgets, allocate funds, process payment requests, and facilitate electronic/card payment collection for fundraising.
• Service hour tracking: provide users and student organizations with the ability to log and track service hours.
• Website & page creation: enable student organizations to design and maintain custom and publicly accessible webpages.
• Event management: offer tools for event planning, including invitations, registrations, attendance tracking, and administrative approval workflows.
• Mobile accessibility: ensure mobile app availability for both apple and android users.
• Internal communication: facilitate communication within the platform via chat and/or discussion boards.
• Recognition & achievement tracking: support awarding badges or certificates for task completion both within and outside the platform.
• Learning pathways: create structured tracks or pathways for students to achieve specific skills, learning outcomes, or progressions in various topics.
• Co-curricular transcript: automatically track student involvement and generate an exportable co-curricular transcript.
• Data analytics & reporting: provide comprehensive analytics with full export functionality.
• Document archiving: allow secure storage and archiving of files.
• Text & SMS capabilities: enable communication through text messaging.
• Training & support: conduct on-site training for administrators and users.
• System integrations: ensure compatibility with university systems, including:
○ Single sign-on (SSO) for seamless authentication.
○ Student information system (SIS) integration with banner.
○ Room reservation system integration with 25live.
○ Payment processing integration with touch net.
• User tagging & management: provide functionality to categorize users into administrative subgroups (e.g., engineering, transfer students, online learners).
• Custom branding & white labeling: allow customization of the platform and mobile app to align with university branding, including colors, logos, custom domain, and platform name.
• Platform accessibility & scope: ensure that all features and functionalities are accessible not only to student organizations but also to university departments.
• The platform shall be available for use by students, faculty, and staff.
• Security & accessibility: ensure data security and accessibility in accordance with higher education security standards, accessibility requirements, and all applicable state regulations.
