Generative Artificial Intelligence and Artificial Intelligence Consultant Services

The Vendor is required to provide generative artificial intelligence (AI) technologies.
- Research and evaluate opportunities for the use of emerging AI solutions in our libraries that align with our privacy standards.
- Taking into consideration business needs and community interest, the contractor will recommend possible AI solutions that can help improve internal work efficiency and/or public service.

- Technical Assessment
•    Conduct a comprehensive evaluation of the library's existing technology infrastructure and operations. 
•    Establish a baseline of current capabilities, identify operational gaps, and assess opportunities for integrating Generative AI (GenAI), Artificial Intelligence (AI), and other emerging technologies to enhance efficiency, customer experience, and alignment with the library’s strategic goals.
- Identify Area of Use
•    Identify and prioritize high-impact, practical use cases for GenAI and AI technologies within current library operations and available resources. 
•    Focus areas may include improving customer engagement, streamlining internal workflows, and enhancing data analysis and decision-making. 
•    Deliver a prioritized list of recommended applications.
- Technology Recommendations
•    Provide detailed, data-driven recommendations for specific GenAI and AI technologies that address the identified use cases. 
•    Recommendations should consider feasibility, cost-effectiveness, scalability, and alignment with the library’s needs and strategic direction.
- Implementation Roadmap
•    Develop a strategic, phased roadmap for implementing the recommended technologies. 
•    The roadmap should include clear timelines, key milestones, resource requirements, knowledge transfer and capacity building, organizational change management, and risk mitigation strategies to support smooth and effective execution.
- Program Management Framework
•    Recommend a governance and management structure to oversee technology adoption. 
•    This includes stakeholder coordination, progress monitoring, issue escalation, and alignment with strategic initiatives to ensure consistent and controlled implementation across departments. 
- Knowledge Transfer and Capacity Building
•    Design and deliver a capacity-building program to equip staff with the skills and knowledge needed to operate and maintain GenAI and AI solutions. 
•    This includes tailored training sessions, user documentation, and support resources to foster internal expertise.
- Organizational Change Management
•    Develop and support a change management strategy to promote successful adoption of new technologies. 
•    Address organizational readiness, employee engagement, communication planning, and methods to build support for transformation efforts.
- Risk Mitigation
•    Develop and support a risk mitigation strategy focused on misuse, data privacy, and ethical concerns. 
•    This includes developing guidelines that outline usage protocol and incorporate ethical considerations and data privacy.
