The Vendor is required to provide automation and AI software solution that leverages AI-driven document intelligence to extract, validate, and integrate data from diverse document types, including invoices, pdfs, emails, spreadsheets, and scanned images, while achieving high accuracy and scalability.
- Solutions adhere to strict data security standards, provide audit trails for compliance, and integrate with core financial, HR, and utility systems.
- Consulting partner with expertise in AI automation and generative document intelligence to assess current processes, design tailored solutions, implement automation, and provide guidance on best practices for long-term operational transformation.
- Requirement:
• Assessment and process discovery: conduct a comprehensive assessment of existing document-driven workflows (including utility billing, invoice processing, insurance reconciliation, and audit preparation) to map current processes, identify pain points, and determine integration requirements with existing city systems.
• Solution design and customization: design a tailored AI automation and generative document intelligence (GDI) strategy, including defining data extraction accuracy targets (e.g., greater than 80%), configuring AI models for document types, developing external portal automation, and establishing security and compliance protocols.
• Pilot implementation and testing: validate solution capabilities by implementing automation on a selected subset of documents and processes, testing data extraction and integration, and collecting feedback to refine workflows and AI configurations.
• Full-scale deployment: support full deployment across targeted processes, ensuring scalability and minimal disruption.
• This includes expanding automation, providing training and documentation for city staff, and establishing monitoring protocols.
• Optimization and continuous improvement: ensure long-term value by leveraging agentic AI to improve accuracy, monitoring performance metrics, and identifying additional automation opportunities as processes evolve.
• The technical and administrative safeguards in place to ensure the confidentiality, integrity, and availability of protected health information (PHI).
• Compliance with the HIPAA security rule, including mechanisms for access control, audit logging specific to phi transactions, and transmission security.
• The firm's process for handling, storing, and transmitting data to maintain compliance with the HIPAA privacy rule and for executing a business associate agreement (baa) with the city.
