The Vendor is required to provide acquired real property in the region to support the delivery of capital projects, and require commercial property management services to secure, administer, and maintain these properties.
- Fire and Life Safety
• Inspect the property for potential safety hazards and code violations.
• Ensure that each property is consistent with the local fire ordinance for accumulation of trash, debris, and flammable vegetation.
• Immediately notify agency of any potential safety hazards that require remediation.
- Security
• Determine whether perimeter fences are needed to secure the area from trespassing, vandalism, or theft.
• Take reasonable precautions against fire, vandalism, burglary, and trespass.
• Control access to the property as needed.
- Management and Oversight
• Correspond with agency staff to discuss the property and project management needs.
• Meter the use of utilities.
• Determine the maintenance and repair needs, as applicable.
• Inspect the Property for potential safety and maintenance issues.
- Building Maintenance & Monitoring
• Create a preventative maintenance plan and schedule, including all systems such as HVAC, plumbing, electrical, mechanical, communications, appliances, irrigation, landscaping, and security.
• Coordination of work, including budgeting and auditing of invoices.
• Schedule and supervise work by contracted maintenance personnel.
• Purchase all building supplies, materials, parts, etc. needed to maintain the properties.
- Grounds keeping
• Provision of grounds keeping services on a regular and as-needed basis, for landscaped areas, hardscaped areas, and control of weeds and vegetation.
• Debris removal, lawn maintenance, irrigation system maintenance and repair, and tree and shrub pruning as needed.
• Coordination of work, including budgeting and auditing of invoices.
• Schedule and supervise work by contracted maintenance personnel.
- Major Works and Repairs
• Determine the need for major repairs, demolition, or waste disposal on a case-by-case basis.
• Coordination of work, including budgeting and auditing of invoices.
• Supervision and project management of major repairs, demolition, and waste disposal.
- Tenant Management
• Communicate with each tenant as needed to discuss concerns and verify lease compliance.
• Collect and manage all rent payment functions and account for all revenue and expenditures.
• Systematically receive, consider, and record all requests for services, including maintenance and repairs.
- Contract Period/Term: 3 years
