The vendor is required to provide audio-visual system for each of the five (5) conference rooms.
- Each conference room shall be equipped with the following (or approved equivalent)
• Display system
o 75”- 85” 4k UHD commercial-grade displays or projection systems suitable to room size and lighting
o Wall mounts or ceiling mounts
• Video conferencing system
o Integrated PTZ (pan-tilt-zoom) cameras with auto-tracking capability
o All-in-one or modular systems compatible with zoom, microsoft teams, google meet, and WebEx
o High-quality microphones (ceiling, tabletop, or beamforming) and in-room speakers
• Audio system
o Integrated sound system with in-ceiling or wall-mounted speakers
o Echo cancellation and noise suppression features
o Audio DSP processor where applicable
• Control system
o Wall-mounted or tabletop touch panel controllers (e.g., Crestron, Extron, or AMX)
o Control of lighting, AV input selection, display power, and volume
• Connectivity
o Wired HDMI inputs and wireless content-sharing capability (e.g., Barco Clickshare, Mersive solstice, or equivalent)
o Cable management solutions and required ports for laptops and devices
• Network integration
o Secure integration into the county’s network (in coordination with it)
o Remote system management capabilities
• Installation and integration
o Site visits and room assessments prior to installation
o Professional installation and configuration of all equipment
o Integration with existing infrastructure (power, data, network)
o Testing and commissioning to verify functionality
o Compliance with all applicable building codes and electrical standards
• Training
o On-site training sessions for designated staff
o User manuals and quick start guides for each conference room
o Support documentation to include wiring diagrams and equipment list
• Warranty and support
o Minimum 1 year warranty on all equipment and workmanship
o Provide optional extended support plans
o Remote diagnostics and troubleshooting capability
• Project timeline
o Project start: within 15 business days of contract award
o Completion deadline: within 60 calendar days of project start
• Deliverables
o Fully installed and operational AV systems in five (5) conference rooms
o Training for staff and it support team
o Final documentation package.
