The vendor is required to provide installation, scheduled maintenance, repair, and support services for broadcast and audio visual (AV) equipment.
- Furnish all labor, materials, supervision, equipment, transportation, and tools to perform broadcast and audio visual (AV) systems installation, support, and preventative maintenance inspection (PMI) services.
- Provide PMI, routine service, technical support, and emergency repairs on broadcast and AV systems, and installation of new broadcast and AV equipment on an as needed and scheduled basis for buildings throughout the county.
- Video Equipment:
• Cameras
o Inspect and clean lenses and housings.
o Verify camera focus, zoom, pan/tilt, and presets.
o Confirm signal output and connectivity.
o Perform firmware and software updates.
o Inspect all cabling for wear and integrity.
• Video switches / mixers
o Test all inputs, transitions, and routing paths.
o Clean interface surfaces (buttons, touchscreens).
o Backup configurations and presets.
o Apply firmware and software updates.
- Audio Equipment:
• Microphones (wireless, gooseneck, lavalier)
o Test microphone elements and transmission quality.
o Replace or recharge batteries.
o Clean windscreens and microphone heads.
o Inspect and sanitize bodypack transmitters and clips.
• Audio mixers / digital signal processors (DSP)
o Test all inputs and output paths.
o Confirm gain structure and equalization presets.
o Clean control surfaces and faders.
o Backup DSP and mixer configuration files.
o Update firmware as needed.
- Signal Distribution and Infrastructure:
• Video and audio routing systems (SDI/HDMI/NDI/DANTE)
o Test all active routing paths.
o Inspect all patch panels, connectors, and cables.
o Verify correct labeling and documentation.
o Check network switch health and traffic monitoring.
o Clean rack spaces and verify airflow.
o Verify and perform any available firmware updates.
- Recording and Streaming Systems:
• Encoders / streamers
o Verify platform connectivity and streaming quality.
o Inspect audio/video sync and resolution output.
o Perform load testing prior to major broadcasts.
o Update software/firmware and verify encoding settings.
• Media recorders / playback devices
o Test recording/playback functionality.
o Monitor storage usage and rotate/archive recordings.
o Backup critical video files.
o Inspect and clean connectors and ventilation.
- Display and Monitoring:
• Projectors / flat panels / monitoring stations
o Clean display surfaces and filters.
o Inspect projector bulbs or laser engines.
o Calibrate brightness and color settings as needed.
o Test signal routing to displays.
- Power and Environmental Systems:
• Test battery runtime.
• Check power distribution units (PDUS) and surge protectors.
• Clean and organize AV racks.
• Monitor room temperature and humidity to prevent thermal damage.
• Report any facility-related electrical concerns.
- Contract Period/Term: 3 years
