The vendor is required to provide AV equipment suppliers for the furnishing, delivery, and installation of the video display and appurtenant equipment necessary to meet the needs of the newly renovated city.
a. All video display equipment shall be new and unused and, at a minimum, should include:
- Quantity:
• A quantity of thirty-three (33) 55” video displays:
o Professional commercial grade 55” displays with UHD 3840 x 2160 resolution.
o All video displays must be compatible with chief model #ltm1u wall mounts
o The mounts have been pre-purchased by the city and will be installed by the GC for the city hall complex improvements (Elford, inc.).
o The successful offeror will be responsible for mounting the video displays to these pre-installed mounts.
• A quantity of nine (9) 65” video displays:
o Professional commercial grade 65” displays with UHD 3840 x 2160 resolution.
o All video displays must be compatible with chief model #ltm1u wall mounts (please see the attached packaging label).
o The mounts have been pre-purchased by the city and will be installed by Elford.
o The successful offeror will be responsible for mounting the video displays to these pre-installed mounts.
• A quantity of six (6) 75” video displays:
o Professional commercial grade 75” displays with UHD 3840 x 2160 resolution.
o All video displays must be compatible with chief model #ltm1u wall mounts
o The mounts have been pre-purchased by the city and will be installed by Elford.
o The successful offeror will be responsible for mounting the video displays to these pre-installed mounts.
• A quantity of two (2) commercial-grade ceiling mounts for installation in the gym
• The ceiling mounts must be compatible with the proposed 55” video displays, and must be delivered to Elford for installation no later than November 1, 2025.
- General display requirements
• Display type: led or lcd
• Resolution: 4k UHD (3840 x 2160 pixels)
• Panel type: commercial-grade panel with minimum 16/7 usage rating
• Manufacturers: lg electronics, Samsung, sharp, Sony, others as approved
• Brightness: minimum 300 nits
• Inputs: minimum 2 HDMI inputs, 1 audio output, IR external control
• Audio: built-in speakers
• Remote control with batteries (compatible with the proposed displays)
• Power cord (compatible with the proposed displays)
- Installation service
• The successful offeror shall assign a dedicated project manager to oversee all aspects of the project, including but not limited to, coordination of all delivery and installation activities.
• Mount all displays at heights and locations specified.
• Install all displays level and secure according to manufacturer specifications.
• Route and conceal all cables using appropriate cable management solutions.
• Connect all displays to the provided power source.
• The city’s it staff will be responsible for furnishing and connecting the signal source AV streaming devices for all displays.
• Ensure all installations comply with local building codes and ADA requirements.
• Maintain a clean work environment and remove all packaging and debris daily.
- Testing and verification
• Test each display after installation to verify proper operation (verify picture quality, input functionality, remote control operation, etc.).
• Address any issues identified during testing before installation is considered complete.
- Documentation
• Provide complete manufacturer documentation for all installed equipment.
• Provide warranty information for all installed equipment.
• Provide contact information for service and support.
- Warranty and support
• Provide a minimum one-year warranty on all installation work.
• Equipment should have a minimum three-year commercial warranty.
• Register all equipment warranties with manufacturers on behalf of the city.
• Provide a single point of contact for all warranty claims.
b. Alternates and additional equipment and services (as authorized)
- Sound reinforcement
• Provide sound reinforcement and soundbar solution suggestions for conference room 116 and conference room 246 (building a second-floor plan).
• Include a lump sum price to furnish, deliver, and install the proposed sound reinforcement and soundbar solution for conference room 116.
• Include a lump sum price to furnish, deliver, and install the proposed sound reinforcement and soundbar solution for conference room 246.
- Video and teleconferencing
• Provide google meet-compatible video and teleconferencing solution suggestions for conference room 116 (building b first floor plan) and conference room 246 (building a second-floor plan).
