• Conduct pre-installation site visits to assess physical layout, infrastructure, and cabling needs
• Provide decommissioning services that encompass all activities required to securely retire, remove, and responsibly dispose of or transfer the obsolete equipment.
• This includes ensuring data security through thorough device sanitization, coordinating the efficient and minimally disruptive retrieval of hardware, and managing environmentally compliant disposal or recycling in alignment with sustainability goals of the city.
• The proponent will also ensure all decals identifying city or proponent ownership are removed.

2. Equipment installation
• Unpack, inspect, and securely mount AV components
• Install all necessary cabling with proper routing and labeling

• Integrate AV components with existing platforms (microsoft teams, zoom or other conferencing platforms)

• Perform end-to-end system testing to verify functionality, performance, and reliability.
• Conduct signal flow checks for audio, video, and control systems.
• Document and resolve any installation or integration issues.
• Provide final commissioning report and document with system configuration details.
5. Training and documentation
• Deliver on-site or virtual training sessions for staff and IT personnel.
• Provide user manuals, quick-start guides, and troubleshooting documentation.
• Provide comprehensive post-installation training and support beginning 24 hours after project hand-over, and ensure these services remain available to the city for a period of 120 days.
6. Project management and timeline
• Assign dedicated project manager to oversee scheduling, coordination, and communication.
• Provide detailed installation schedule with milestones and dependencies.
• Coordinate with other contractors or departments as needed.
- Support and maintenance
1. Post-implementation support:
• Ensure compliance to SLA-based response and resolution times consistently met (e.g., next-business-day onsite repair).
• Measure key performance indicators as required by the city and ensure performance metrics does not go below the agreed standards.
• Provide a remote monitoring tool to proactively detect issues and dispatch service.
• Document incident and resolution logs maintained for transparency and trend analysis.
• Provide regular review meetings with stakeholders to track service performance and satisfaction.
• Provide regular licensing and patches for the hardware supplied.
2. Ad-hoc support and services:
• Must provide a 2-hour response guarantee to client-initiated, service requirements (e.g., moves, special projects).
• Create a clear process for requesting and approving ad-hoc services such as break fix, including estimated costs.
• Provide documentation and tracking of all ad-hoc activities for audit and billing purposes.
• Ensure resource availability without disruption to city operations.
• Provide high customer satisfaction from responsive and tailored service delivery and measured accordingly as part of the KPI.
