The Vendor is required to provide high audio-video quality technology and software solution designed for simulation and support faculty led debriefs and learner self-reflection as a part of experiential and simulation best practice.
- Deliver high-quality audio and video capable of live streaming, remote access and observation, recording, secure storage with appropriate labeling, broadcasting, and controlled sharing of individual files.
- Include both permanently installed AV components and portable AV units to enable any space to be configured as a simulation-ready environment. This includes the hardware components in the designated control rooms that enable the simulation spaces and equipment.
- Provide a high-quality user experience with minimal latency, enabling timely remote access to recordings and efficient file sharing.
- Feature an intuitive, user-friendly interface that supports positive user experiences for faculty and simulation staff without requiring advanced technical expertise.
- Integrate software and hardware components to generate data metrics that are clear, relevant, and easy to access, including the ability to generate reports and export data.
- The system should provide high-quality audio capture using ceiling-mounted microphones, lavalier microphones, or a combination thereof. Microphones may be omnidirectional or cardioid condenser types, depending on system design, and may be powered via phantom power (hardwired) or battery operation in the case of lavalier microphones.
- The software platform should be user-friendly and support learning-management-style functionality, including the creation of sessions, assignment of participants, and bulk participant uploads. Individual participants should be able to access and review their own recordings only, with appropriate safeguards in place to prevent access to other participants’ data and ensure compliance with privacy requirements
- Portable camera solutions should support flexible mounting options, including ceiling mounts, wall mounts, tripods, poles, or rail systems.
- Cameras should support preset positions
- Cameras should support pan, tilt, and zoom (PTZ) functionality with true optical zoom or highquality digital zoom. Camera movement should allow full 360-degree rotation. Video resolution should support a minimum of 1080p, with 4K high-definition capability preferred to ensure clear and detailed video capture.
- The software should enable manual camera control and presets, video recording and casting, centralized control of all simulation spaces, and facilitation and debriefing tools such as annotations, tagging, and session note-taking.
- The software should capture basic usage and performance metrics and provide the ability to generate and export reports or data files.
- Technology Supply and Solution Delivery
• Provide and supply all AV technology required to meet the competition specifications, including hardware, software, peripherals, integration components, and any proprietary systems;
• Provide detailed product specifications and system documentation for all proposed components;
• Ensure all technology is compatible with agency IT standards, security policies, and instructional requirements.
- Design Collaboration and Technical Input
• Collaborate with agency Prime Consultant (architects, engineers, design team) to provide all technical information required to support schematic design and subsequent design phases for the AV hardware in the purpose designed simulation lab spaces;
• Provide drawings, technical cut sheets, equipment sizing, heat loads, power requirements, network requirements, and spatial/structural requirements needed to support design development;
• Participate in design coordination meetings as required by agency or the Prime Consultant; and
• Provide timely responses to requests for information during design.
- Perform system testing, calibration, and quality assurance to confirm the technology is operating as intended; and
- Provide as-built documentation, including network diagrams, equipment layouts, configuration settings, and user manuals.
- The estimated budget for this project is CAD$300,000 to $330,000 and includes hardware, software, installation, warranties over six (6) years.
