Audio-Visual Professional Consulting, Maintenance, and Support Services

The Vendor is required to provide Audio-Visual (AV) professional consulting, maintenance, and support services to ensure the City’s AV systems remain reliable, secure, and aligned with evolving operational and organizational needs.
- AV technology has been an integral part of operations since 2011, supporting Council and Committee meetings, staff collaboration, and community events across the City.
- The City’s existing AV systems are built primarily on Crestron control, QSC, MVI meeting management software, and integrated with Microsoft Teams, Mersive Pods, digital signage, microphones, cameras, speakers, amplifiers, and streaming services to the Internet.
- The City is seeking reliable professional services for AV consulting, system programming, maintenance, and operational support for its AV infrastructure across City facilities.
- This includes preventative maintenance of AV equipment and systems, programming and configuration of AV control platforms, operational support for meetings and events, and professional consulting services related to the planning, optimization, and lifecycle management of the City’s AV environments.
- These services support the AV systems operating in Council Chambers, Committee Rooms, boardrooms, the Emergency Operations Centre, and other City facilities, including the delivery of Council and Committee meetings, hybrid meetings, live streaming sessions, and City-hosted events.
- The objective of this engagement is to ensure consistent, reliable, and standardized AV services across the organization, enhancing accessibility, transparency, operational efficiency, and overall user experience for Council, staff, and the public.
- This includes routine preventative and corrective maintenance, troubleshooting, and coordination for the advanced replacement of failed or non-functional equipment.
- Responsible for arranging and facilitating timely resolution of programming-related issues.
- Provide support and maintenance for AV system programming, including the implementation of potential feature enhancements.
