The Vendor is required to provide audio-visual production services for an in-person, event Wednesday, November 4, 2026 at the center.
- Production operations and management
• Weekly meetings with key staff in weeks leading up to the event.
• One onsite with center, arc staff, and arc event contractor.
- Stage design
• Scenic set elements with lighting to highlight arc brand and themes.
• The preferred provider will present 2-3 various staging options to the arc team 40 days prior to the event.
• Attractive, modern lectern with mic and digital screen.
• The preferred provider will present proposed staging options to the arc team 40 days prior to the event.
- Lighting
• Stage lighting – sufficient stage wash
• Accent lighting – moving spot and wash fixtures
• Uplighting for side walls
• Gobo or animated lighting on two (2) white back walls
- Audio
• Eight (8) wireless headsets for arc staff with separate channel for event planner
• Audio recording to mp3 file(s) uploaded to client platform post event
• Twelve (12) clear com system headsets for client – wireless and hard wired to be provided
• Podium and lavalier MIC’ING for talent
- Video
• Three (3) projectors – HD DLP or equivalent (unless use of led wall is proposed)
• One (1) center screen or possible led wall
• Two (2) 16:9 format outboard screens for presentation content
• Two (2) camera – IMAG video of speakers
• One (1) confidence monitor;
• Perfect cue system;
• Speaker timer;
• Video recording(s) delivered to client via hard drive or cloud-based storage link post event.
