The Vendor is required to provide for consultant support for audio/visual systems, CCTV systems, man-down systems, and panic alarm systems.
- Provide knowledgeable support to agency management regarding the ongoing support/needs of the captioned systems to maintain optimal functioning, assist in identifying/sourcing knowledgeable sources for these systems to consider for future engagement, trouble shoot and facilitate maintenance of existing systems, provide support to internal departments where possible to support ongoing operational activity, and ensure smooth operations of AV, CCTV, Man-Down, and Panic Alarm systems at agency.
- Audio/Visual (AV) Systems Management
• System Assessment
o Review existing AV systems, infrastructure, and configurations
o Evaluate performance, reliability, and user experience
o Identify gaps, deficiencies, and lifecycle risks
• Requirements definition
o Define functional and technical requirements:
o Coordinate with stakeholders (clinical staff, security, administration)
o Define system specifications and operational requirements
• Service & maintenance contractor Procurent (RFP management)
o Develop and issue RFP for AV service contractor
o Define scope, service levels, and performance requirements
o Manage bidder walkthroughs and Q&A
o Evaluate proposals and provide recommendations
o Support contract negotiation and award
• Service & maintenance oversight
o Develop and implement Av service and maintenance strategy
o Serve as the primary liaison between the center and the audio/visual service and maintenance contractor.
o Ensure the audio/visual service and maintenance contractor delivers services in accordance with contractual requirements, service-level agreements (SLAS), and industry best practices.
o Provide centralized oversight to streamline communication, minimize downtime, and ensure accountability.
o Monitor daily/weekly activities, work orders, and maintenance schedules.
o Ensure timely resolution of service requests and escalations
o Manage scope, budget, quality, and timeline for all service and maintenance activities.
o Identify risks, implement mitigation measures, and ensure compliance with relevant standards and regulations.
o Review and approve contractor maintenance logs, service reports, and testing documentation
o Conduct quality inspections of completed work to ensure compliance with standards
o Coordinate service tickets and vendor response
o Provide monthly and quarterly performance reports, including KPI dashboards
o Contractor billing and invoicing review
o Track system uptime, failures, and recurring issues.
