The Vendor is required to provide to modernize its facilities maintenance operations and enhance the management of city properties, improve preventative maintenance practices and streamline work order and service request processes through the implementation of a computerized maintenance management system (CMMS) solution.
- Currently, maintenance activities are coordinated through manual processes, paper records, and a general-purpose ticketing system that lacks maintenance and asset management functionality.

• Guided, standardized maintenance practices, with the system guiding how and when tasks should be performed; using checklists and procedures aligned with industry best practices and applicable state codes and regulations.
• More reliable civic facilities through structured preventive and predictive maintenance that reduces unplanned downtime of critical facilities.
• Centralized asset management, providing visibility into asset history, condition, and lifecycle requirements to support better planning and resource allocation.
• Efficient work order management, streamlining service requests, task assignment to internal tradespeople and contractors.
• Integrated financial oversight with maintenance costs captured and integrated with the City’s enterprise future resource planning (ERP) system.
- The system should include preloaded manufacturer/industry standard inspection templates to help standardize practices, with vendors providing sample lists or screenshots as evidence.
- Use of AI, machine learning, or rules based logic to detect anomalies and estimate remaining useful life (RUL) of assets.
- Support for visual representation of asset health scores, predicted failure likelihood, and trend data to assist in planning and risk assessment paired with explanation so users can understand the data.
