The Vendor is required to provide uniformed armed security guard services during normal business hours only for the department.
- All Security Guards shall be supplied, trained and qualified with their assigned duty weapon and unarmed restraining techniques.
- All Security Guards shall receive, at a minimum, semi-annual refresher training related to their assigned post.
- All Security Guards must be uniformed and easily distinguishable in company-specific security apparel at all times while on the premises, enhancing visibility and approachability, while ensuring consistency and professionalism.
- A current photo ID card must be visibly displayed on the Security Guard’s person at all times.
- Security Guards include:
• Verify employee identification upon entry.
• All employees have an id badge that must be worn at all times while the employee is in the building in accordance with department security standards.
• All entrances of the building are private badge-accessed outside of normal business hours.
• Free passage is enabled during normal business hours.
• Ensure that all visitors entering the building present photo identification.
• All visitors who enter the building should utilize the 2nd floor main entrance to sign in and out of the building and receive a visitors’ badge.
• The security guard will use established department logbook for this purpose.
• No visitors will be allowed in the building without being signed in.
• Security guards shall check the logbook for visitors in the building before and after work hours and effectively enforce sign-in/out log procedures.
• To ensure the safety and security of all employees, visitors, and property, all visitors are required to pass through a metal detector located at the 2nd floor main entrance in accordance with department security standards.
• All packages brought into the facility by visitors are subject to a visual inspection by security guards.
• This includes but is not limited to tote bags, briefcases, bags, purses, laptop cases, etc. Visitors who object to a visual inspection of their property will not be granted admittance to the area with the item.
• They have the option of leaving the item in question outside of the facility.
• Security guards will notify the responsible division when they have visitors at the security desk. An information book is located at the security desks with contact information for key department staff and division contacts.
• Security guards shall never leave unlocked entry/exit doors at the security desk unattended.
• Monitor all entrances and exits and ensure all exterior doors are appropriately secured and functioning.
• Administer security rounds throughout the department headquarters by physically walking around and conducting a watchman tour/patrol to ascertain that there are no deficiencies of safety, security, or maintenance issues as per procedures.
• This includes monitoring traffic at the loading dock.
• If maintenance issues are observed during security rounds, security guards will report such issues to the facility manager.
• Receive packages or other deliveries, including filling out a receiving delivery log, when department staff are not onsite or otherwise not available.
• If applicable, monitor closed circuit television/video cameras regularly at the front desk as per written procedures.
• Responsible for responding to all emergency and non-emergency calls for service when dispatched.
• This includes but is not limited to fire alarm activation, intrusion alarm activation, medical assistance, larcenies, requests for service, and motor vehicle accidents.
• In the event of any emergency, contact appropriate designated personnel as per procedures. Contact information for key department staff and critical vendors will be made available prior to start of service.
• Security guards must document and report any incidents that occurred during their work hours.
• For major incidents, a separate incident report should be provided to department point of contact with details.
• Collaborate closely with the department to enhance overall security measures, ensuring seamless coordination and mutual support.
• In the event of an incident within the patrolled area, security guards will promptly coordinate with the department, as necessary.
• Follow all department policy and procedures as outlined in the information book which is kept at the security desks.
• Other duties as required.
