The vendor is required to provide that cleaning services for the turnover of university owned apartments between tenant occupancies.
- Cleaning equipment and supplies:
• All necessary cleaning equipment, tools, and supplies to complete the work.
• This includes, but is not limited to, cleaning solutions, vacuum cleaners, mops, and any other materials required to perform custodial duties.
• The supplier is also responsible for providing labor, labor supervision, transportation, and any additional items or services necessary to complete custodial cleaning tasks each day.
• The university housing and dining services department may specify certain products, such as floor wax or other cleaning materials, that must be used in particular apartment complexes
• The housing and dining services department will supply replacement burner pans, hood filters and shower curtain and hooks as needed.
- Cleaning expectations:
• Each apartment complex has a detailed outline of the required cleaning tasks for the turnover process
• The supplier is responsible for ensuring all commercial custodial cleaning services are completed according to the outlined expectations, within the scheduled timelines, and with the appropriate level of staffing.
• Provide on-site supervision will be required to ensure adherence to the cleaning standards and timelines.
• Minimal furniture movement may be necessary to complete certain cleaning tasks, such as vacuuming under desks or mopping hard-surface floors
• The supplier will be responsible for moving furniture (e.g., desk chairs, small tables, and chairs) to access areas requiring cleaning
- University conducted inspections
• The housing custodial department will conduct periodic inspections to verify that the contractor is meeting the cleaning requirements and completing tasks as scheduled.
• Inspections will be based on the criteria outlined in the project specifications and the initial agreement.
• The supplier will be expected to resolve any issues found during inspections in a timely manner.
- Abandoned furniture and property:
• The university has both furnished and unfurnished apartments.
• The housing & dining services department will provide the supplier with a list of furniture items included in the furnished apartments.
• The supplier is expected to know which items belong in a furnished apartment when performing cleaning duties.
• The supplier must document the items and time it takes to dispose of the property so the housing and dining services department can properly assess fees.
- Disposal or extra cleaning charges
• Any disposal or extra cleaning tasks beyond the standard turnover procedures will be subject to additional charges
• The supplier must clearly communicate any such charges and obtain prior approval from department before proceeding with additional work
• Larger items such as furniture can be placed in on-site roll off dumpsters when available
• When roll off dumpsters are not on site the supplier should work with the department to assist with disposal.
- Communication and cooperation
• Regular communication is necessary for successful completion of the apartment turnover process
• The supplier will be expected to report issues related to maintenance or the discovery of additional concerns within an apartment.
