The Vendor is required to provide secure onsite, compliant, and efficient destruction of confidential documents in alignment with state and federal regulations.
- Responsible for providing secure shredding services, which are crucial for protecting sensitive information, enhancing data privacy, promoting compliance with health information regulations, and providing secure bins and/or totes for monthly pick-up at the specified locations.
- Responsible for handling sensitive materials in a manner that protects personal information and ensures confidentiality.
- Vendor will supply 7 lockable, secure totes to each of the four participating departments at these three locations.
- ensure the secure destruction of personal information documents, thereby maintaining compliance with the Health Insurance Portability and Accountability Act (HIPAA) regulations.
- Document Shredding: The vendor will provide secure shredding services for confidential documents containing personal information in both paper and electronic formats.
- The shredding process must ensure that documents are rendered unreadable and unusable, using cross-cut shredders that meet the security level P-4 or higher as stipulated by the Institute.
- On-Site and Off-Site Shredding
• On-site shredding, where the vendor performs shredding at the three locations.
- Provide a Certificate of Destruction for each shredding service performed for record-keeping and compliance purposes at each location.
- Documentation must include details such as the date of service, quantity of documents shredded, and a description of the shredding method used.
- Provide shredding services on a scheduled basis.
- The frequency of service will be determined in consultation with programs, with possible options including weekly, bi-weekly, or monthly service.
- must coordinate service scheduling with program personnel, ensuring timely and efficient services that do not disrupt departmental operations.
- All documents scheduled for shredding must be handled securely to minimize the risk of exposure to unauthorized individuals.
- Must provide options for emergency shredding services on short notice in the event of unexpected document accumulation or compliance needs.
