Document Destruction Services

The vendor is required to provide document the destruction of confidential documents at agency.
• The contractor shall furnish and maintain a reasonable supply of locked security consoles and other related equipment for the collection and storage of the agency confidential materials.
• Locked security consoles should hold no greater than 32 gallons of material.
• The contractor shall physically collect agency confidential materials on a regularly scheduled basis, to be mutually determined by contractor and agency designated representative.
• Contractor must be able to shred documents containing paperclips, staples, plastic tabs and metal hanging file folders.
• Upon physical collection of the confidential materials, the contractor shall destroy on or in reasonable proximity to agency, the confidential materials through use of mechanical shredding devices.
• Mechanical shredding devices must meet industry standards for the destruction of confidential records.
• At the conclusion of the document destruction process, the contractor will immediately provide agency designated representative with a certificate of destruction.
• Upon the agency request, an authorized representative of the agency may, at any time, inspect the document destruction process.
• The contractor will recycle or otherwise dispose of agency shredded material in the ordinary course of contractor's business.
• The contractor and agency designated p
erson shall meet as soon as possible after the award of the contract to schedule time and days of service and discuss other relevant matters.
• Agency and the contractor shall arrange to conduct meeting and orientation sessions in an effort to improve knowledge of methods and service and discuss problem areas should they exist. 
• All contractor staff must complete agency contractor orientation prior to commencing services at agency.
