The vendor is required to provide document shedding services on an “as required basis” by issue of delivery order (“DO”).
- Provide all transportation, equipment and labor required to provide on-site and off-site document shredding services.
- Complete a nationwide background check on all employees prior to them working at any county department site with sensitive materials.
- Item and service specifications
• Provide locked security containers for storage of confidential documents needing to be shredded.
• The locked containers must be appropropriate for an office environment.
• They shall have an opening on the top of the container approximately 1.5” x 17” for documents to be inserted into.
• A 5% variance per outside measured side of bin is allowable, not to exceed a total overall variance of 5%.
• The following types and sizes are required:
o Consoles that are approximately 20 inches wide x 20 inches deep x36 inches tall
o Containers – 64 gallons
• Contractor must ensure the container will have a heavy-duty bag in place to hold the contents to be shredded.
• The contents cannot be visible through the bag.
• The bag is removed, zipped, or otherwise sealed to be removed for shredding, and replaced with a new bag.
• Contractor must accept all paper-based products acceptable for shredding.
• Minimal other non-paper-based products, such as rubber bands, staples, file folders, tabs and paperclips should be able to be shred also.
• County will keep non-paper-based products to a minimum.
• County shall not be held responsible for damage to supplier based on shredding materials in bins.
• The contents of the bags shall be dumped directly into the shredder with no sorting or handling, except such minimal handling as necessary to ensure the safety of supplier’s staff or equipment.
• The bags are turned inside out to confirm that all papers are removed.
• All shredded materials and documents will be removed and properly disposed.
• Acceptable disposal is to be recycled into lower grade products.
• Shreds cannot be used for packing material or be taken to a dump.
• Supplier must use shredded paper for recycling of consumer products and not for packing material.
• Contractor unit price for each shredding service must be all inclusive of costs including the container, labor, time, pick-up and delivery and any other cost.
• Remove bags and transfer contents to contractor’s vehicle where documents shall be shredded on-site into unrecognizable bits.
