The Vendor is required to provide secure document shredding services on an as-needed basis.
- Secure shredding services, including the placement and servicing of locked shredding bins and consoles at designated city facilities.
- Certification of destruction for every visit.
- Equipment
• Locked consoles, 64-gallon shred bins, 96- gallon shred bins, and mobile shredding trucks as needed.
• Shred bins and consoles shall have a master key provided to the city’s records and information management office.
• On-site shredding services shall use cross-cut shredding with a maximum particle width of ¾ inches and length ≤ 2.5 inches.
• Trucks used for shredding must follow a documented maintenance schedule.
- Security and data breach obligations
• Notify the city immediately (within 24 hours) of any actual or suspected data breach, security incident, tampering, unauthorized access, loss, theft, or compromise of confidential information or shredding bins and content.
• A formal written incident report detailing the breach, root cause, remediation steps, and preventative measures must be submitted within 72 hours.
- Communication and administration
• Must respond to the city’s inquiries within one business day.
• Dedicated email contact and an online scheduling system for:
o Service scheduling
o Accounting and invoices
o Requests for bin and console placement or removal.
