The Vendor is required to provide confidential document destruction services partner as a campus wide agreement, to provide an efficient and cost effective solution to meet the needs of the university’s.
- Requirement:
• Confidential shredding service may (include but not limited to, all types of material such as paper, binders, cassette tapes, CDs, DVDs, microfiche, micro FLIM, x-rays etc.)
• Confidentiality of all information is required at all times.
• The proponent shall not inspect, view, peruse, copy or examine any confidential material or documents.
• Service is to be provided by trained, bonded and licensed personnel wearing uniforms and displaying photo identification at all times.
• Service vehicles should be identified with the company logo and equipped with automatic locking doors.
• Records should never be left unattended or in an unlocked situation.
• University requires that a certificate of destruction form(s) or certificates be signed confirming all confidential materials have been shredded.
• Provide samples of forms you have and describe the procedure your company follows.
• If a lock box is being used in a particular location, describe how you would comply with these processes.
• Identify your pick up and removal procedure for confidential document destruction services.
• No pre-sorting or removal of fasteners (staples, paperclips, etc.), by university employees will be required before shredding.
• The proponent shall furnish all material, labor, vehicles, equipment and supplies necessary to perform the services required
• Handle the transport of all records in covered containers to insure that no record is lost or mislaid in route.
• Supply locked security containers for collecting records.
• Total bins and locations may be added or subtracted during the agreement.
• The number of pickups may vary depending on departments needs and to be adjusted during the term of the agreement
• Asked to be flexible, without penalty, with the established frequency of bin emptying as this may vary throughout the year and buildings.
• If providing exchangeable lockable bags for bins, extra bags may be required at no charge for overflow periods in between emptying cycles.
