The Vendor is required to provide community engagement services (Project) to develop and implement a community engagement approach and materials to support the implementation of the agency.
- The development of the community engagement approach and materials requires technical arboriculture and planning expertise and experience effectively engaging diverse audiences, facilitating meetings, and developing educational materials.
- Consultants should have experience engaging a range of audiences including, but not limited to, City staff, community members, business owners, property owners, and public agencies on technical urban forestry or related topics.
- Goals:
• Design an engagement approach that empowers residents to learn about, care for, and champion city urban forest.
• Develop clear, accessible educational materials that the City can use for engagement efforts beyond the term of this contract.
• Initiate engagement with entities that own, control, regulate, or affect the urban forest—including businesses, property owners, community-based organizations, and public agencies—and entities in disadvantaged and low tree canopy neighborhoods to support equitable access to resources and urban forest decision‑making.
- Ongoing budget monitoring, including tracking hours, expenses, and resource allocation to ensure alignment with the approved budget.
- The Consultant Team will develop and implement a comprehensive Project Management Plan that guides all work activities, schedules, communication, and documentation throughout the duration of the Project.
- Preparation and submission of invoices consistent with City and grant requirements, along with brief monthly progress reports (integrated into invoices) summarizing completed work, upcoming activities, and any challenges and/or delays.
- Coordination with other entities (e.g., tree care-holders, consultant teams, agency partners etc.) when requested by the City.
- This document will include tangible next steps for City staff in engagement efforts.
- The Consultant Team will work with City staff to determine the most effective timing and content for the workshop. The Consultant Team will develop and provide all materials and activities needed for the workshop.
- The Consultant Team may propose a variety of formats, including written materials, visual guides/manuals, social media infographics, and/or video content. When possible, the materials should be evergreen to support long-term use.
- Topics may include but are not limited to the benefits of trees, tree water-wise irrigation, and climate and drought resilient tree species, guidance on tree planting to maximize energy conservation, and appropriate pruning and maintenance for trees.
